Where Your Career is a Force for Good! As a Business Operations Coordinator at either Tulsa or Wichita, you will provide transactional support for the finance, operational, and administrative functions of the Region, including budget monitoring, daily finance transactions, local vendor relationships, facilities management, fleet management, HR, IT, logistics and supply management, and records/reporting. You will serve as the lead system user/trainer for business software applications.

Key Responsibilities

Financial Administrative Support – Provide budget support, expense coding, regional procurement monitoring, and analytics for monthly forecasting of expenses.

Lead System User/Trainer – Utilise and train staff on internal business systems, troubleshoot phone and computer issues, and maintain internal IT platforms.

Facilities/Asset Management Support – Ensure repairs, vendor relationships, proposals, real‑estate plan data, and risk management updates.

Fleet Management Support – Maintain fleet inventory, insurance claims, and liaison with Fleet Management.

Logistics and Supply Management Support – Coordinate supply ordering, inventory tracking, warehouse coordination, and distribution for disaster operations and daily business needs.

Events – Participate in event planning meetings and maintain insurance certificate applications, financial collection processes, and regulated item forms.

Reports/Data Information – Provide grant reporting guidance, internal reports, and data quality for Operations systems.

Operations SOPs – Develop, maintain, and distribute a regional SOP Manual and provide training.

Volunteer Coordination – Coordinate and train volunteers for daily transactional work such as data input, clerical support, logistics tasks, and other operational needs.

Minimum Qualifications

Education:

High School or equivalent required; Associate’s degree in Accounting, Business or Public Administration preferred.

Experience:

Minimum 3 years of financial or facilities administrative support experience in community organizations, government agencies, non‑profit organizations, business or equivalent combination of education and related experience required.

Travel:

Travel required throughout the Region with some travel outside of region.

Skills & Abilities – Teamwork, planning, prioritizing, organizational skills, attention to detail, strong interpersonal skills, proficiency with MS Office (Word, Excel, PowerPoint, Outlook).

Preferred Qualifications

Comfortable learning new databases.

Data base uploads.

Understands logistics, inventory tracking for different departments.

Organized for ticketing EMAX/Element.

Support for facilities and fleet.

Inventory supply management.

Working with and leading volunteers.

Worked as a volunteer.
