Overview Scheduler I- Medical Oncology- Longview is a full‑time role (Monday‑Friday 8:30am‑5pm) with no weekends, call, or major holidays. The position supports the Longview location in the Medical Oncology department at Texas Oncology, part of The US Oncology Network.

Responsibilities

Answer all incoming calls; assess callers’ needs and direct to appropriate personnel and page clinic staff as needed.

Schedule new patients, referrals, and returning patients in the computer system following physician and office guidelines.

Cancel or reschedule appointments per physician changes and notify clinic personnel.

Enter insurance authorizations, referral correspondence, and other documentation in patient charts or EMR.

Collect co‑pays, deductibles, and other out‑of‑pocket amounts at time of visit.

Maintain primary office scheduling template with physician meetings, satellite schedules, rounding, and call coverage.

Arrange financial counseling for patients as needed.

Demonstrate patient confidentiality and align with clinic/professional standards.

Follow policies to contribute to front‑office efficiency and cover other front‑office functions as requested.

Prepare correspondence, memos, forms, and other typing as requested by supervisor.

Schedule outpatient appointments, tests, surgeries, and hospital admissions when requested and obtain necessary pre‑certification.

Communicate with patients about surgeries or tests, including prep requirements.

Follow up on pre‑operative tests to ensure clearance before surgery and communicate findings to physician and patient.

Schedule post‑operative follow‑up appointments with physicians.

Basic understanding of medical terminology, coding, and ability to look up codes for diagnosis, surgery, and scheduling.

Qualifications

High school diploma or equivalent required.

Entry‑level position; 0‑3 years of experience preferred in a medical office setting.

Knowledge of medical terminology, scheduling, and/or authorization experience preferred.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office (Outlook, Word, Excel) required.

Physical Demands Work may require sitting for long periods; stooping, bending, and stretching for files and supplies; occasionally lifting files or paper up to 30 pounds. Requires manual dexterity to operate keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods.

Work Environment Performed in an office environment with contact with patients and the public.
