We’re searching for a Senior Administrative Assistant — someone who works well in a fast‑paced setting. In this position, you will provide direct administrative support for multiple leaders, including primary support to an Executive (Assistant Vice President or above) and/or a Senior Physician Leader who reports directly to an In‑Chief and has system responsibility.
Job Duties & Responsibilities
Composes correspondence, memos, and reports, according to guidelines and in a timely manner
Type, format, create, and proofread a variety of materials including handwritten, typewritten correspondence, presentations, memos, reports, agendas, and contracts, as instructed, and verifies the conformity of documents to Texas Children’s Hospital standards
Assemble documents and presentations as needed, for external meetings
Manages the leader’s calendar
Telephone various internal and external personnel to arrange meetings
Coordinate with other administrative staff to reserve conference rooms as needed
Answer the telephone in a courteous manner, identifying department and offering assistance
Take telephone messages including name of caller, date, time, return telephone number and legible message when applicable
Retrieve messages immediately and take appropriate action upon return‑to‑work area
Interface with all employees in a professional, courteous manner to assure that requests are met amicably, and a congenial work atmosphere is maintained
Maintain excellent relationships with departments throughout the hospital, assuring a good working atmosphere
Handle incoming/outgoing mail
Arrange travel
Participate in reception relief
Skills & Requirements
Required: High School Diploma or equivalent
Required: 5 Years Secretarial Experience
Preferred: Medical and College Background
