Responsibilities

Schedule tests for patients using practice management software or coordinating with outside facilities based on insurance coverage, patient preference, physician preference, and location.

Gather pertinent information from insurance carriers, physicians, and patient charts to ensure proper matching to contracted service providers.

Call patients to schedule tests within required time frames, following company policies and procedures.

Maintain ongoing communication with patients regarding pre‑certification, authorization, financial counseling, and scheduling processes.

Respond to patient questions and complaints, resolving issues and maintaining high patient satisfaction.

Provide clinical instructions needed for appointments or procedures.

Input requisite data, including referrals and coded notes, into the practice management system and EMR.

Accurately update patient information and schedules in the practice management system and EMR, and document all work completed.

Initiate test authorizations within the required time frames as designated by policies and procedures.

Qualifications

High school diploma, GED, or equivalent working knowledge preferred.

0–2 years of test scheduling experience or related experience.

Strong communication skills with physicians, patients, and the public; ability to establish good working relationships with internal and external customers.

Knowledge of insurance plans, computer systems, grammar, spelling, and punctuation for accurate patient information entry.

Customer service skills and understanding of HOPCo's code of conduct and culture.

Ability to maintain patient confidentiality, handle upset patients, obtain patient history, work on multiple projects, prioritize tasks, and meet time‑sensitive goals.

Normal office environment working conditions and physical/mental demands: sitting, standing, some bending, and manual dexterity with a computer keyboard, phone, and scanner.
