Administrative Assistant – PANHANDLE CLEANING & RESTORATION, INC.

This role provides dedicated administrative support to Project Managers and Estimators, ensuring smooth workflow and accurate documentation throughout all project stages.

Responsibilities

  • Provide dedicated administrative support for Project Managers and Estimators.
  • Handle CRM electronic entries for all potential jobs.
  • Take incoming phone calls and new project inquiries.
  • Set up new projects in the system and create files.
  • Schedule appointments for estimators.
  • Assist in scheduling work and creating work orders.
  • Prepare bids and confirm quotes.
  • Process initial project information billings and related data.
  • Prepare billing files.
  • Prepare contract packages for signatures.
  • Process billings, receivables, burn sheets, project warranties, and job closeout files.
  • Perform other duties as assigned by manager.

Knowledge, Skills & Abilities

  • 2–4 years of experience in a similar position.
  • Excellent computer skills, particularly Microsoft Office – Word, Excel, Outlook.
  • Strong organizational and time management skills.
  • Excellent follow–through and follow–up abilities.
  • Ability to work in a fast–paced environment.
  • Friendly and outgoing demeanor.
  • Prior experience in construction or restoration is preferred.
