Summary: The Administrative Assistant provides comprehensive administrative support to the Human Resources and Administrative teams at Tapestry 360 Health. This role is responsible for coordinating day-to-day operations including scheduling, document preparation, file maintenance, communication support, and project coordination. The ideal candidate is highly organized, detail-oriented, professional, and able to maintain confidentiality while managing multiple priorities in a fast-paced environment.
Essential Duties And Responsibilities
Human Resources Support
- Coordinate interview scheduling and candidate communication in collaboration with HR staff and hiring managers.
- Prepare and distribute new hire packets and onboarding materials.
- Maintain and update personnel files (electronic and paper), ensuring accuracy and confidentiality.
- Track completion of mandatory trainings, certifications, and license renewals.
- Assist with onboarding logistics including scheduling orientations and collecting required documentation.
- Support offboarding processes, including collecting exit documentation and deactivating system access.
- Respond to general inquiries and route requests to the appropriate HR team member.
Administrative Support
- Prepare, proofread, and format memos, letters, spreadsheets, and internal communications.
- Assist with data entry and updates in HRIS and other internal systems.
- Provide logistical support for internal events, trainings, and staff recognition efforts (e.g., Annual Meeting, staff awards).
- Manage calendars, schedule meetings, and reserve rooms and equipment as needed.
- Support the administrative team in maintaining electronic filing systems, tracking deadlines, and updating administrative tools.
- Order office supplies and maintain inventory for administrative offices.
General Office Support
- Serve as a point of contact for visitors and incoming calls to the administrative office.
- Open, sort, and distribute mail or packages received at the administrative office.
- Provide cross-coverage for other administrative support roles as needed.
- Assist with special projects and perform other duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- At least 2 years of administrative or office support experience, preferably in a human resources or healthcare setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with HRIS or ADP is a plus.
- Excellent organizational, time management, and written/verbal communication skills.
- Ability to maintain a high level of confidentiality and professionalism.
- Strong attention to detail and ability to handle multiple tasks simultaneously.
- Customer service orientation and ability to work collaboratively with diverse teams.
Work Environment
- This position operates in a professional office environment.
- Requires use of standard office equipment, including computers, telephones, printers, and scanners.
- Occasional early morning or evening hours may be required for special events or meetings.

Pay Transparency: The salary range for this position is $47,448.00 - $65,000 annually. Actual compensation will be determined based on factors including, but not limited to, relevant experience, qualifications, internal equity, and organizational needs.
