Administrative Assistant – Atria Management Company
Location: Lynbrook, NY
Salary: $90,000.00–$105,000.00 (2 weeks ago)
Responsibilities
- Assist the Community Business Director with accounts receivable: maintain resident data, input ancillary charges, generate monthly billing statements, review aging reports, and support collection efforts.
- Assist with accounts payable: code invoices, enter data into systems, copy and file vendor documents.
- Support payroll functions: run daily punch reports, correct missed punches, support pay‑period end processes, file records, and train staff on time‑clock procedures.
- Assist with HR functions: new‑hire orientation, enrollment, and plan changes; maintain personnel files (with controlled access), and track FMLA, Worker’s Compensation, and other programs.
- Help with month‑end close procedures: collect accruals from department heads and conduct account research as needed.
- Provide direct phone coverage with receptionist staff.
- Manage and order community office supplies.
- Drive company vehicle as required for community events.
- Support sales effort by scheduling tours, handling phone inquiries, and conducting tours.
- Perform other duties as needed and/or assigned.
Qualifications
- High school diploma or GED; or 1–3 months related experience and/or training; or equivalent combination of education and experience.
- Proficient computer skills with Microsoft Office and internet navigation.
- Must successfully complete all Atria‑specified training programs.
- State‑required training guidelines.
- Ability to read and comprehend simple instructions, correspondence, and memos.
- Ability to write simple correspondence.
- Ability to effectively present information in one‑on‑one and small‑group situations to customers, clients, and other employees.
- Basic arithmetic skills (addition, subtraction, multiplication, division).
- Application of common sense to carry out detailed written or oral instructions.
- Problem‑solving in standardized situations with a few concrete variables.
- Ability to work various schedules and shifts as needed.
