Senior Administrative Assistant

Department: Bureau of Traffic Services, Department of Streets and Sanitation
Location: 740 N Sedgwick, Chicago, IL
Days: Monday–Friday
Hours: 9:00 AM to 5:00 PM

Description: Performs administrative and office management support functions of a complex nature for a City manager, or supervises staff performing office, clerical and/or administrative functions, and performs related duties as required.

ESSENTIAL DUTIES

  • Provides and coordinates administrative support in the VIP office and Payment Center.
  • Provides relief as needed in the VIP office in the scanning and processing of VIP files, paid files and the sorting, processing, and checking of mail against the Traffic Service Mail Reports and responding to VIP phone inquiries.
  • Provides relief in the Payment Center as operationally needed in the release and processing of paid files for VIP vehicles and Administrative Hearings for those vehicles.
  • Implements, monitors, and enforces departmental policies and procedures.
  • Communicates critical matters to departmental staff and management.
  • Uses a computer and related office equipment to run daily mail reports and VIP Revenue reports to check paid files to ensure VIP policies and procedures are being followed by all payment center staff.
  • Uses several different computer databases to respond to phone and in-person (in Payment Center) vehicle impoundment inquiries concerning the status of impounded vehicles, Administrative Hearings for those vehicles and policy and procedures for redeeming impounded vehicles.
  • Liaison between the Law Department, VIP office and the Pound in responding and retrieving documents requested by the Law Department for VIP Administrative Hearing cases.
  • Coordinates with various departments and implements bankruptcy holds and releases of impounded vehicles as instructed by the Law Department.
  • Additional duties may be required for this position.

Qualifications

  • Three (3) years of administrative, office assistant or secretarial experience.
  • Or:
    • A diploma or certificate of completion from a vocational or business education program in Office Administration, plus two (2) years of administrative, office assistant or secretarial experience.
    • Graduation from an accredited college with an Associate's degree, plus one (1) year of administrative, office assistant or secretarial experience.

Selection Requirements

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

Benefits and Salary

Starting Annual Salary: $60,720.00/year.
