Administrative Assistant II – DSG – This position is responsible for performing a variety of administrative/clerical support tasks in an assigned area at MedStar Montgomery.

Base Pay Range

$36.27/hr

Responsibilities

  • Administrative assistance: perform clerical tasks, maintain calendars, schedule appointments, and book meeting locations.
  • Take accurate meeting minutes, compose, transcribe, and distribute correspondence, memos, reports, and clinical documents.
  • Copy, laminate, fax, scan documents; create and maintain departmental program and reference files and spreadsheets.
  • Participate in interview and selection of job candidates, and assist leaders with policy updates and organization of information for performance appraisals.
  • Prepare and send notices to maintain employee compliance; track employee information, orientation, competency, mandatory training, certifications, and attendance.
  • Coordinate office functions, staffing, and scheduling; manage purchasing, invoice tracking, and check requests.
  • Prepare and collect data for statistical reports (budget, census, etc.).
  • Retrieve, locate, and research information; support special projects and initiatives.
  • Provide customer service by greeting callers and guests, managing telephone inquiries, and routing messages.
  • Maintain confidentiality of sensitive information.
  • Develop knowledge: attend training and meet mandatory requirements.
  • Collaborate within and between departments; participate in inter‑departmental teams and committees.
  • Maintain proficiency with computer systems such as PeopleSoft, API, and Microsoft Office.

Education & Experience

  • High School Diploma, GED, or equivalent (required).
  • 3–4 years of administrative experience, preferably in a hospital or health‑care setting (required).

Knowledge, Skills, and Abilities

  • Ability to communicate with all levels of internal and external customers.
  • Proficient computer skills for data entry.
  • Experience with Microsoft Office (Word, Excel, Outlook, PowerPoint) is preferred.
  • Basic medical terminology is preferred.
  • Knowledge of HIPAA confidentiality policies.
