What You'll Do:

  • Provide senior level administrative support to three senior leaders of a business unit or COE; may provide support to multiple senior level leaders simultaneously
  • Manage multiple assignments and deadlines of team members and maintain schedule of deliverables for internal/external presentations and work products
  • Optimize time management by giving consideration to organization-wide due dates or deliverables that may compete with internal schedules and ensure relevant parties are aware of issues that need immediate attention
  • Manage multiple calendars, including scheduling meetings and appointments and resolving conflicts when competing priorities occur
  • Serves as lead coordinator for conferences and meetings
  • Screen/prioritize/direct incoming calls, email or other communications taking appropriate action as necessary
  • Make decisions on behalf of senior leader(s), resolve requests and escalate when necessary
  • Arrange complex and detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings
  • Complete requested business errands such as obtaining catering, ordering office supplies, circulating mail, handling over-night deliveries, processing expense reports, coordinating machine maintenance and provide support for new hire onboarding
  • Assist other administrative assistants in the management of some designated conference rooms in our Alpharetta location and also in the placement of some project teams when required
  • May be required to contribute to projects and activities not included in other principal accountabilities to assist in the accomplishment of business objectives and professional development
  • Significant events involving international team members and others may occasionally demand some flexibility with work hours
  • Ownership of monthly tactical/leadership meetings and quarterly Town Halls (including attendee management, meeting space, meals, etc.); (working in tandem with the Equifax Event Coordination Office as necessary)
  • Coordinate senior leadership relationships, events, contacts and daily calendars; Coordinate senior leadership arrangements for travel, outside meetings/hotel stays/transportation
  • Complete senior leadership expense reporting and other corporate administrative tasks (e.g., internal system troubleshooting, creating requisitions and paying invoices, new employee onboarding, etc.)
  • Become familiar with key client contacts (especially peer assistant staff), proactively developing relationships that improve/accelerate interaction between Equifax and client senior personnel
  • Interface with Accounts Payable on invoice processing in support of the team
  • Perform other duties or special projects in support of the business operations of the team, as appropriate

Experience You'll Have:

  • 5+ years of experience supporting senior-level managers
  • Prior experience with domestic and international travel booking and expense management systems
  • Client-focused, friendly, and positive attitude (a helpful and enthusiastic demeanor)
  • Outstanding oral and written communication skills, including the ability to comfortably communicate with senior leadership and client personnel
  • Strong interpersonal skills with the ability to work with people at all levels of an organization
  • Ability to be pro-active and think about the details before the senior leader
  • Ability to work either independently or in a team environment, depending on the task
  • Exceptional organization skills and impeccable attention to detail
  • Superior poise and judgment with the ability to work well under pressure
  • Proven ability to multi-task and re-prioritize tasks based on established objectives and urgencies
  • Clear proficiency/acumen Microsoft Office (with high level of proficiency in Microsoft PowerPoint, Excel and Word) and internet research skill
  • Absolute discretion in handling highly confidential materials
