Position Overview: Provide administrative support to Athletic Director and coaching staff. The Administrative Assistant will play a vital role in supporting the Junior High and High School athletic departments, in day-to-day operations, ensuring smooth coordination of schedules, communication with stakeholders, and fostering a positive experience for UCA student-athletes.

UCA recognizes staff as an integral part of the 5-fold ministry given to the church in Ephesians 4:1-13. As such, UCA administrators serve as ministers to help advance the mission and vision of United Christian Academy.

Reports to   Reports and is supervised by the Athletic Director with directives and input from the Assistant Athletic Director, the Junior High Principal, and the High School Principal.

Qualifications & Responsibilities

Qualifications

  • Must be a born-again Christian.
  • Must be a credible Christian role model whose godly lifestyle and character demonstrate obedience to God and the Holy Bible.
  • Must be able to support and comply with the school’s Statement of Faith and Statement of Conduct.
  • Must be a member of an evangelical, Bible-believing church.
  • Supports the school’s mission, vision and culture.
  • Communicates in a positive, assertive and supportive manner, avoiding gossip and hearsay.
  • Fully commits to the UCA grievance policy and understands the Biblical plan for conflict resolution.
  • Trustworthy – able to maintain confidential information as appropriate.
  • High school diploma or equivalent; Bachelor’s degree preferred.
  • Must have sufficient health and physical endurance to be able to complete the assigned responsibilities.
  • Must have proficiency in Microsoft Word and ability to learn student LMS system (web-based school management software).
  • Must have good verbal and written communication skills, with proper command of the English language.
  • Able to work well independently, manage time well, and handle multiple tasks.
  • Must have strong organizational skills for filing and detailed project assignments.
  • Maintains a workspace environment that is conducive to productive school office.
  • Maintain a “solution conscious” attitude when faced with challenges.
  • Have a positive, cheerful and “can-do” attitude with parents, students and staff and performs all duties as assigned.
  • First Aid/CPR Certificate.
  • TB clearance within the last four years.
  • Criminal Justice Fingerprint clearance.
  • Immigration Reform and Control Act of 1986: An Eligibility Verification Form (I-9) will be required along with the supporting documents listed on the I-9 form.

RESPONSIBILITIES

Administrative Support

  • Maintain HomeCampus data base with information including, but not limited to coach clearances, student clearances, practice schedules, game schedules, etc.
  • Create rosters and emergency packets for all sports teams
  • Provide coaches with dismissal sign-out forms
  • Prepare athletic award certificates
  • Complete CIF academic award applications and prepare certificates
  • Order and pickup awards & trophies
  • Disburse sports photos to coaches
  • Collaborate with AD and accounting on uniform orders

Event Coordination

  • Confirm all games with opponent school’s office or AD
  • Assist AD in securing athletic venues, coordinating officials and managing event logistics
  • Assist AD with game changes.
  • Schedule team photos with vendor
  • Schedule senior recognition for each sports team
  • Schedule sports assemblies as required
  • Schedule & confirm transportation for athletic teams
  • Prepare sports camp brochures and assist in summer camp preparations
  • Assist coaches in preparing team banquets

Communications

  • Coordinate communication between coaches, student-athletes, parents and school administration regarding schedules, changes, and other relevant information.
  • Communicate with AD and coaches student approved for sport, practice only or not cleared for activity.
  • Send out daily athletic dismissal information to all-staff.
  • Communicate to all stakeholders game change information.

Facilities Management

  • Schedule facility usage request from Office Manager for practices/games.

Uniform/Equipment Management

  • Collaborate with coaches to maintain updated uniform and equipment inventory lists.
  • Collect uniforms from coaches at end of season.

Compliance

  • Collect and input physicals and complete athletic clearance.
  • Track eligibility for all athletes at JH and HS level.

Student Support

  • Provide administrative support to student-athletes, including assisting with academic eligibility checks and facilitating communication between coaches and teachers.
  • Utilize LMS to run student eligibility reports and communicate to AD, coaches, and parents student status updates.

PHYSICAL DEMANDS

Sitting (20%); Standing/Walking (40%), lifting (15%), climbing (5%), bending (10%), squatting (10%). Must be able to lift 20-45 pounds.

WORK ENVIRONMENT

Work environment includes indoor and outdoor environments and office, field and gym settings. Floating desk assignment and/or shared office space may be required, moderate to high noise levels commensurate to athletic events and settings.
