Schedule
Generally, 25 hours per week Monday – Friday 9:00 AM – 2:00 PM on-site.
Pay Range
$19.03 – $24.50 per hour, commensurate with experience.
Primary Functions
Provide administrative support to the Retail Services Department and the Credit Union through various administrative functions. Serve as subject matter expert for supply ordering.
Duties and Responsibilities
- Coordinate supply orders for the department, including name badges, teller stamps, and business cards; coordinate supply orders for the main office such as water delivery, coffee, and other supplies not ordered per department.
- Manage supply administration, ensuring cost containment of office supplies; foster relationships with supply vendors to ensure favorable cost and service.
- Coordinate meeting room schedule/usage, ensure proper set‑up of the room upon request, perform regular review of room conditions and report any issues to the Facilities Manager as needed.
- When requested, organize/order food, refreshments, and beverages for Retail meetings.
- Coordinate Van Log schedule to ensure sufficient and timely transport of materials/supplies, including deliveries to 3rd parties.
- Oversee notary renewals, new applications, and terminations.
- Prepare New and Closed Membership report for monthly Board Meeting package.
- Perform duties of SharePoint (Central Point), including updates to Retail pages and uploading Retail forms to Central Docs repository.
- Process the mail daily, including but not limited to in‑coming and out‑going, and all mailroom functions.
- Maintain postage machine, including meter balance, postage rate updates, usage reports, troubleshooting issues, and supply orders/replacement as needed.
- Process transactions received through the mail.
- Process returned mail, updating Core and sending notifications to members.
- Stay current on job‑related equipment, procedures, and information by reading handouts/memos, attending meetings and seminars and other necessary means.
- Adhere to all applicable Credit Union policies, procedures, and regulations.
- Maintain community involvement and participate in special projects as needed.
- Perform other duties as requested or assigned.
Requirements
- Education: High school diploma or equivalent.
- Experience: 1 to 3 years in an administrative support function.
- Skills: Familiarity with Microsoft Word, Excel; ability to accurately perform detailed work; establish priorities, meet deadlines, and work efficiently in a fast‑paced environment.
- Tech Skills: Skilled in use of general office machines and computers.
- Interpersonal: High level of interpersonal skills; ability to interact professionally with individuals at all levels within the organization.
- Traits: Flexible, efficient, self‑motivated and able to interact positively with co‑workers.
