This position provides administrative and office support to the Chevron New Energies (CNE) team. Chevron is committed to advancing the organization toward being a leader in the Energy Transition. The Administrative Assistant must be someone who is self-motivated, learns quickly, anticipates needs, works independently, and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail, and the ability to maintain confidentiality.
Responsibilities for this position may include but are not limited to:
- Provides general administrative support, including coordinating meetings and appointments, planning events, ordering office supplies, maintaining files, and managing visitor credentials.
- Provides thorough calendar management, ensuring the right people are in each meeting, managing cadence to optimize leaders’ time, and gathering pre-read materials in advance.
- Coordinates domestic and international travel plans, including booking, scheduling in-person meetings, and managing expense reports.
- Assists in managing team collaboration tools such as SharePoint.
- Communicates and interacts effectively with leaders and employees across the organization.
- Always maintains the highest degree of confidentiality.
- Assists in preparing and proofreading presentation materials.
- Coordinates meetings, conference calls, and catering needs.
- Orders supplies and equipment as needed.
- Independently completes projects by gathering, organizing, and summarizing information into clear documentation.
- Maintains effective networks within the organization and with external stakeholders.
Required Qualifications:
- Proven experience in administrative support roles (5+ years minimum)
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite and enterprise systems (e.g., SAP, Workday, or similar).
- Excellent communication and interpersonal skills. - Communicates in a clear, concise, and effective manner with internal and external customers.
- Ability to work independently and handle confidential information with discretion.
- Experience with e-billing and setting up vendors in payment system.
- Ability to problem solve and use good judgement in making decisions.
Preferred Qualifications:
- Experience with Chevron policies and procedures is required.
- Demonstrated commitment to Chevron Way behaviors, including integrity, trust, diversity, partnership, and high performance.
- 10+ years’ experience in administrative support roles
