Refugee Resettlement | Administrative Assistant

Catholic Charities is looking for the right people—those who wish to serve their community as part of a family‑friendly organization helping people in need in the Houston‑Galveston area. Refugee Resettlement assists government‑approved refugees in becoming self‑sufficient through cultural orientation, job development, family reunification, and resettlement.

Responsible for programmatic clerical work, general office functions, and record keeping. Assist staff in maintaining and completing file documentation.

Responsibilities

  • Greeting, receiving, and directing visitors and clients; communicating with front desk to ensure clients are served in a timely manner by staff.
  • Answering, screening, and transferring phone calls; resolving administrative problems and inquiries.
  • Keeping records of sign‑out/sign‑in book for personnel and volunteers.
  • Entering clients' information in the system and creating & submitting weekly HCPHES client schedule for health screening.
  • Sorting and distributing incoming correspondence; preparing and sending client correspondence.
  • Maintaining and ordering office supplies; keeping file room organized and stocked.
  • Gathering weekly and monthly timesheets for payroll; compiling monthly reimbursement reports from staff.
  • Performing other duties as required by supervisor such as preparing for special events and projects, assisting with outreach, consortium and refugee services provider activities, participating in staff retreats, United Way tours, agency fairs, and speaking engagements.

Qualifications

  • High School Diploma or G.E.D.
  • Two (2) years of clerical or comparable experience.
  • One year of social services casework and/or clerical experience.
  • Bilingual Spanish and English.
  • Valid Texas Driver’s License.

  • Success in dealing with a variety of people.
  • Ability to handle confidential client information.
