Receptionist/Administrator

Brooklyn, NY • $60,000–$65,000 + Benefits

We are seeking a high-level, experienced Receptionist/Administrator to serve as the front-facing and administrative backbone of a busy plumbing and heating company. This role requires strong organizational skills, experience in accounting support, and polished customer communication skills.

Responsibilities

  • Answer and manage incoming phone calls and emails, directing inquiries to the appropriate department
  • Handle billing, invoicing, and accounts receivable processes
  • Maintain accurate financial and customer records
  • Support basic accounting functions, including data entry and reconciliations
  • Provide professional, efficient customer service to clients and vendors
  • Assist with general office administration and daily operational support

Requirements

  • Prior experience as a receptionist, office administrator, or similar role
  • Experience with billing, invoicing, and accounts receivable
  • QuickBooks experience preferred
  • Clear, professional verbal and written communication skills
  • Strong organizational skills with attention to detail
  • Managerial mindset with the ability to take ownership and prioritize tasks
