Newly created Executive Assistant role designed to allow the Managing Director to step out of day‑to‑day operational responsibilities and focus more fully on business origination and deepening key client relationships. The Executive Assistant will serve as the central point of coordination for daily activities, acting as a trusted gatekeeper, strategic organizer, and polished, client‑facing representative.

The Managing Director travels frequently, making this role essential to maintaining continuity and momentum. You will ensure that schedules, communications, and client needs are managed seamlessly while the Managing Director is on the road, providing consistency, responsiveness, and an elevated client experience at all times. Responsibilities

  • Own and proactively manage the Managing Director’s complex Outlook calendar, balancing meetings, travel, and client commitments while anticipating changes and priorities.
  • Monitor, filter, and respond to emails on the Managing Director’s behalf when appropriate, ensuring urgent client matters are addressed quickly, professionally, and with sound judgment.
  • Manage all aspects of domestic and international travel using the firm’s internal systems, including itineraries, logistics, schedule changes, and real‑time adjustments while the Managing Director is on the road.
  • Serve as a warm, polished, and professional first point of contact for inbound client calls, adapting communication style to different generations and client preferences.
  • Coordinate 6–8 larger client events annually, as well as smaller dinners and prospect meetings, overseeing logistics, invitations, approvals, and post‑event follow‑up.
  • Manage all events and activity approvals in a highly regulated environment, partnering closely with compliance teams to ensure adherence to firm policies and timelines.
  • Provide broad administrative and operational support to the Managing Director and team, helping offload day‑to‑day tasks and keep the group running efficiently and seamlessly.

Location: Chicago, IL – Salary Range: $90,000 – $115,000 (Approximate)
