Job Description

The Senior Executive Assistant enables the Head of Investor and Rating Agency Relations to optimize their day and operating rhythm by providing comprehensive administrative support including complex calendar management, meeting coordination, e‑mail monitoring, task tracking, etc. The individual directly supports the Head of IR and works closely with the Business Execution team as well as individuals across Finance and Bank. We are seeking a highly organized and proactive assistant who is detail‑oriented, self‑motivated, and capable of problem‑solving independently in a fast‑paced, complex environment.

Responsibilities

  • Ensure seamless administrative operations, handle sensitive tasks with discretion, and provide high‑level support in a fast‑paced environment.
  • Manage complex calendar day‑to‑day, aligning the schedule with the Head of IR’s preferences and priorities, with strong sense of urgency and an understanding of business objectives and timelines.
  • Resolve conflicting requests independently based on knowledge of business and other priorities.
  • Serve as the point of contact for internal and external stakeholders, ensuring timely communication and information flow to the Head of IR, Business Execution team, and direct reports.
  • Work closely with the Business Execution team and individuals across Finance to prepare detailed agendas, presentations, and documents for the Head of IR, and follow up on key action items.
  • Organize and execute executive events, including offsite meetings and investor/analyst engagements, ensuring all logistics are handled efficiently.
  • Prepare, reconcile, and track expense reports through the Travel and Entertainment Expense system; review and sign off on others’ expense reports.
  • Coordinate travel arrangements and develop detailed trip schedules and itineraries, including local meetings, flights, hotels, passports/visas, ground transport, meals, and appointments.
  • Collect various requests (e.g., meetings, actions, follow‑ups) by engaging with individuals and appropriately collate and track independently.
  • Build relationships and coordinate with other Executive Assistants; serve as backup support when required.
  • Order supplies and process invoices through the Procure to Pay system.

Qualifications

  • Significant experience supporting senior C‑Level executives with complex calendars and diverse priorities, preferably within a large, complex organization.
  • Exceptional organizational, multitasking, and problem‑solving skills.
  • Critical thinking and proactive, independent problem‑solving ability.
  • Prioritization and workload management skills in a fast‑paced environment.
  • Excellent verbal and written communication skills, including experience communicating with senior level executives.
  • Self‑motivated, detail‑oriented, and highly organized.
  • Highly proficient in Office (Outlook, Teams, OneDrive, PowerPoint, Word, Excel) and Adobe Pro.
  • Strong business acumen and ability to learn business and functional priorities and timelines; ability to connect dots and translate to own work.
  • Strong discretion and confidentiality.

Education

Bachelor’s/University degree or equivalent experience.
