Overview
We are seeking a highly motivated and proactive Senior Executive Assistant to support an executive-level officer. The ideal candidate will possess a positive attitude and a keen ability to anticipate needs, ensuring seamless day‑to‑day operations. They will be responsible for managing schedules, coordinating meetings, handling communications with precision and professionalism, and fostering a productive and organized environment that allows executives to focus on strategic initiatives.
Responsibilities
- Manage the executive’s calendar, travel arrangements and schedule meetings and appointments across multiple time zones.
- Oversee and monitor all correspondence, including emails, calls, mail, and other communications.
- Draft communications, reports, presentations, spreadsheets, and conduct research or generate reports using various tools.
- Manage meetings: prepare agendas, coordinate presentations, and take minutes as appropriate; coordinate functional employee meetings and events.
- File and organize all documents, both paper and electronic, including emails, reports, and presentations.
- Monitor and manage expenses to meet company budget requirements.
- Assist in elevating the employee experience by coordinating employee events and functional communications.
- Take on special projects and provide work direction to other administrative staff as needed.
- Maintain strict confidentiality in handling materials and sensitive information.
Qualifications & Desired Skills
- Previous experience supporting senior leadership or executive‑level leaders.
- Associate degree or higher; college degree preferred.
- Strong technical skills in Microsoft Office (Word, Excel, PowerPoint).
- Excellent organizational, planning, and time‑management abilities.
- Exceptional interpersonal, written, and verbal communication skills.
- Resourceful, adaptable, and able to handle a variety of tasks in a fast‑paced environment.
- Ability to prioritize projects and be proactive in a team setting.
Compensation
Pay Range – $29.01 to $53.88 per hour.
Benefits & Local/Geographic Pay Structure
- Non‑Exempt: Structure 110 – $31.90 to $59.25 per hour; Structure 115 – $33.35 to $61.94 per hour.
