A leading national law firm is seeking a Legal Secretary to provide comprehensive administrative and litigation support to attorneys and legal staff in its Washington, D.C. office. The ideal candidate will bring professionalism, precision, and initiative to a fast‑paced environment while managing multiple priorities with exceptional attention to detail.
This role is ideal for a proactive professional who enjoys working collaboratively with attorneys and legal teams to ensure high‑quality client service and efficient case management.
Responsibilities
- Prepare, edit, and proofread correspondence, pleadings, discovery materials, and other legal documents with accuracy and attention to detail.
- Draft and finalize sensitive and complex communications, ensuring proper formatting, tone, and confidentiality.
- Assist with litigation‑related tasks, including preparing witness binders, deposition materials, and trial exhibits.
- Manage electronic court filings (eFiling) across various jurisdictions using PACER and ECF systems; stay current on filing procedures and requirements.
- Organize and maintain case files, both physical and electronic, ensuring proper handling and storage of original client documents.
- Schedule appointments, coordinate travel and meetings, and maintain attorney calendars to ensure deadlines and obligations are met.
- Support billing activities, including time entry, data verification, submission, and resolution of discrepancies.
- Prepare tables of authorities and contents, apply document version control, and handle complex formatting in Microsoft Word.
- Coordinate with firm departments and vendors to ensure timely completion of administrative tasks and litigation logistics.
- Handle multiple assignments for several attorneys simultaneously, prioritizing tasks to meet critical deadlines.
Requirements
- Minimum of 2 years of legal administrative experience in a law firm or professional services environment required.
- Prior experience supporting a Litigation practice is required.
- Proficiency in electronic court filing systems (PACER, ECF) and familiarity with related court processes.
- Advanced proficiency in Microsoft Word, including document comparison, redlining, and formatting of TOA and TOC.
- Intermediate to advanced proficiency in MS Office Suite and ability to learn new programs such as Adobe, Best Authority, DocuSign, and PDF management tools.
- Experience with document management systems (iManage preferred).
- Excellent written and verbal communication skills, with strong proofreading and editing abilities.
- Outstanding organizational skills and meticulous attention to detail.
- Ability to handle confidential information with discretion and professionalism.
- Strong time management and multitasking abilities, with the flexibility to support multiple attorneys simultaneously.
- Willingness to work overtime when required to meet case or client demands.
- Schedule: Hybrid – 3 days remote, 2 days in office.
