Job Overview
The Kansas City, Kansas Public Schools (KCKPS) is a nationally recognized urban school district that serves approximately 22,000 students. KCKPS includes 28 elementary schools, 7 middle schools, 5 college and career academies/high schools, and 4,000 employees including more than 1,800 teachers.
Job Goal
Prepare and maintain files, reports and records of an administrative and confidential nature. Facilitate the efficient operation of the school office and provide clerical services requiring a broad knowledge of office practices and procedures for the school administrators. Perform varied public contacts.
Essential Functions
- Maintain office files and records and compile reports from standardized information or drafts.
- Use good knowledge of modern office procedures and practices, business English, spelling and related subjects.
- Operate office machinery, computer hardware and related equipment in performing required duties.
- Possess appropriate human relation skills for dealing with staff and the public.
- Perform general clerical tasks independently with guidance, including preparation of correspondences, forms, reports, calendars, handbooks and similar items.
- Act as reception for the building and operate telephones and intercom system.
- Assist teachers with correspondences and reports as approved by the principal.
- Enter and maintain staff and student absences daily using the District's Attendance software program.
- Maintain accurate enrollment and withdrawal records, request records from former schools and forward records as necessary.
- Type correspondences and handle records as directed, maintaining confidentiality.
- Perform bookkeeping activities and file monthly reports.
- Assist with general first aid and other related medical tasks according to board policy.
- Requisition supplies and material when appropriate.
- Perform other duties as assigned by the principal.
Qualifications
- High school diploma or equivalent.
- Job related experience with increasing levels of responsibility.
- Proficiency with computer and commercial software.
Communication / Organization
Maintain communication with school personnel, parents/guardians to enhance cooperative action, meeting the educational needs of students and utilize existing technology effectively.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization. Ability to interpret instructions in written, oral, diagram, or schedule form.
Language Skills
Effectively present information and respond to questions from administrators, staff, parents, students, and the general public.
Physical Demands
Employee regularly required to sit, walk, stand, talk or hear. Occasional lifting or moving up to 50 pounds. Specific vision abilities: close vision, distance vision, depth perception.
Work Environment
The work environment is usually loud; noise level is acceptable for this environment. Employee is directly responsible for students' safety, work output and well‑being.
Other Skills and Abilities
Ability to establish and maintain effective working relationships with students, peers, parents and community; clear and concise written and oral communication.
