Minimum Qualifications

  • Associate’s degree and/or completion of business college credits preferred
  • Three years of accounting and/or purchasing experience desired
  • Extensive computer skills; proficient in Microsoft Office Suite, Google, and Excel
  • Knowledge and skills in grammar, punctuation, language usage, and general composition
  • Experience with Business Plus system
  • Ability to coordinate and process data in a timely and accurate manner with strong analytical skills
  • Demonstrate a high degree of initiative, plan and organize work independently
  • Meet timelines, maintain records, prepare reports and have the ability to multitask
  • Develop ongoing positive working relationships with team members
  • Ability to communicate clearly and concisely, both orally and in writing and to interact collaboratively with district staff and community members
  • Willingness to obtain MSBO Purchasing Officer certification
  • Knowledge of the State of Michigan Accounting Manual (Bulletin 1022)

Responsibilities

  • Review, approve and process purchase orders for supplies, materials and equipment necessary for the district
  • Assist end users with specifications and obtaining quotes on purchase orders
  • Administer formal public bids in compliance with all Board, Federal and State policies; write specifications, bid documents, organize and lead pre‑bid conferences and post all required information to district purchasing page
  • Conduct training for new staff on purchasing policies, procurement procedures and technology (assignment of purchasing roles/users) within the purchasing function
  • Maintain and update vendor files within the finance software system and within the Business Services Department
  • Maintain, process and ensure compliance by vendors with all contract documents
  • Administer the district's purchasing card program
  • Assist with management of cash, including bank functions, ACH transactions, wires and check management
  • Assist with payroll tasks including review of entries to double check work
  • Assist in completion of fiscal year‑end related activities
  • Answer telephone and email inquiries from employees as well as outside vendors
  • Provide back‑up for monthly journal entries, cash receipts, invoices and other related data files into the Business Plus system
  • Reconcile monthly general ledger liability accounts
  • Back‑up and support others within the Business Services department
  • Other duties as assigned by Director
