A Biotech Firm in Somerville is seeking a talented and experienced Office Manager / Executive Assistant to handle day-to-day operations, support senior executives, and liaise with clients. The successful candidate will thrive in a fast-paced environment, managing competing priorities while showing great attention to detail, organization, professionalism, and working well with all levels of internal management, staff, and visitors. This is an excellent opportunity to join a dynamic company in a dynamic role. This role is 5 days onsite in Somerville, MA.

Responsibilities

  • Serve as the first point of contact by welcoming visitors, maintaining office organization, and supporting facilities needs.
  • Manage and coordinate with vendors.
  • Oversee office operations including supplies, vendor management, invoice/PO tracking, maintenance coordination, and workspace assignments.
  • Support HR and operations with onboarding, event planning, and other ad hoc tasks.
  • Provide overall administrative support to multiple executives, including travel coordination and calendar management.
  • Provide executive support by managing calendars for senior leaders.
  • Coordinate monthly events for team building, milestone celebrations, welcoming new employees, etc.
  • Assist Director of Finance in purchasing, reconciling invoices, and filling out payment requests with proper coding.
  • Work closely and effectively with the executives to keep them informed of upcoming commitments and responsibilities, following up appropriately.
  • Liaise with clients when necessary.
  • Maintain an efficient business environment.

Qualifications

  • Bachelor’s Degree.
  • At least 5 years of relevant experience as an Office Manager and supporting executives.
  • Experience in the health and life sciences space.
  • Demonstrated flexibility and professional maturity to understand priorities and anticipate needs.
  • Ability to manage conflicting priorities and deliver on the most critical assignments on time and within budget.
  • Positive can-do attitude, consummate team player, and ability to work independently with minimal supervision.
  • Highly proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint) and experience setting up systems and databases.
  • Excellent written and verbal communication skills with attention to detail and ability to multitask.
  • Willingness to perform a wide range of tasks including working with confidential information.

Compensation

  • $95,000-$100,000
