Administrative Front Desk; Part‑time; Entry level
Responsibilities
Greets all visitors entering the lobby; obtains visitor information; connects visitors to staff; announces visitors; ensures visitors sign in; maintains HIPAA compliance; tracks wait time; advises policies; maintains clean desk; contacts janitorial/maintenance; serves as point of contact for records requests.
Handles incoming and outgoing calls; answers calls with greeting; obtains caller info; makes appropriate connection; keeps accurate records; assists staff with long‑distance calls.
Administrative support: assists NHPPD; issues key fobs; activates/deactivates key fobs; collects replacement fees; tracks staff whereabouts; records messages; notifies security; maintains supplies; uses discretion; follows 5‑Star Customer Service guidelines; works with clinical staff on visitation calendars; manages meal sign‑up; processes payroll; enters maintenance, IT, mail; signs packages; maintains lost‑and‑found; other duties as assigned.
Physical Requirements Continuous sitting up to 2 hours; reaching forward; grasping to turn keys; lifting up to 15 lbs; fine manipulation; standing/walking frequently; bending forward; overhead reaching up to 15 lbs; push/pull up to 25 lbs; step ladder; strong grasp; visual acuity; additional duties as assigned.
Qualifications
High school diploma or equivalent.
One year experience working in a hospital or office setting handling front desk/reception type duties.
Proficient in Microsoft Office products (Outlook, Word, Excel).
Ability to concentrate and maintain accuracy despite frequent interruptions.
Demonstrated Knowledge Within Six Months
Works independently with minimal supervision.
Uses judgment in carrying out all phases of work.
Uses avatar system.
Uses ShoreTel phone system.
Knows AltaPointe’s continuum of care.
Knows community services.
Knows guardian ad litem (GAL) process.
