Executive Assistant to the CEO Responsibilities

Utilizes extreme discretion and confidentiality in all aspects of duties;

Acts as liaison between C‑Suite, Board of Governors, Medical Staff, Corporate Personnel, Employees, Patients and Family Members, Vendors;

Uses appropriate chain of command when resolving employee, patient, physician‑related issues;

Maintains and updates hospital licenses and certifications;

Acts as Contract Coordinator for all physician contracts, property leases and facility transfer agreements;

Responsible for physician payment distribution;

Maintains calendars and travel schedules for CEO, CFO, CMO and Associate Administrator;

Manages and submits Concur travel reimbursement for CEO and CFO;

Coordinates leadership meetings and prepares agendas, sign‑in sheets, meeting materials, records and transcribes meeting minutes;

Coordinates Board of Governors, Senior Leader and Department Director meetings, presentations and meeting materials;

Assigns and maintains administrator on‑call schedule;

Manages payroll for CEO, CFO and AA direct reports;

Provides notary public services;

Coordinates various hospital functions and events;

Schedules conference rooms, sets up audio/visual equipment for presentations, facilitates catering requests;

Drafts correspondence, analysis, flyers and forms;

Screens incoming calls, redirects inquiries if needed;

Maintains office supply inventory and replenishes supplies;

Files and archives files.

The individual must exercise independent judgment and initiative. Must be able to handle confidential and restrictive information with the utmost discretion. Must be able to handle multiple tasks and functions at once and present a positive/professional demeanor at all times.

Job Requirements

Minimum High School Diploma/Equivalent, Bachelor’s degree or Associate Degree Preferred

Minimum Professional Certification

Minimum 5–8 years related experience, 8–10 years Preferred

Must successfully pass any pre‑employment assessment(s) required by the hospital.
