The Community Events Specialist supports the planning, coordination, and execution of community engagement initiatives and special events that advance the philanthropic goals of WVU Medicine Golisano Children’s. This position works closely with the Director of Community and Donor Relations to strengthen community partnerships, enhance event experiences, and grow donor engagement through strategic fundraising and outreach activities.

The Specialist plays a key operational role in implementing community giving campaigns, managing event logistics, and coordinating with internal teams, volunteers, and external partners to ensure events and initiatives are executed with excellence, professionalism, and alignment to the WVU Medicine Golisano Children’s brand and mission.

Duties and Responsibilities

Essential Functions and Responsibilities include the following. Other duties may be assigned.

Event Coordination and Execution

Assist in the planning, production, and execution of community-based fundraising events, hospital celebrations, and donor engagement activities.

Manage event logistics, including timelines, budgets, vendor coordination, materials, venues, catering, audiovisual, and guest registration.

Support post-event processes including reconciliation, reporting, thank‑you correspondence, and feedback collection.

Collaborate with the Director to identify new event opportunities and improve existing initiatives.

Maintain an organized calendar of community events, ensuring adequate coverage and support from staff and volunteers.

Community Engagement and Fundraising Support

Serve as a liaison to community organizations, schools, and corporate partners to coordinate third-party fundraisers, campaigns, and sponsorship activations.

Assist with community giving campaigns, including donor outreach, gift processing, and stewardship follow‑up.

Help implement strategies to grow community awareness, volunteerism, and donor participation.

Represent WVU Medicine Golisano Children’s at community events and outreach opportunities, acting as an ambassador for the hospital and its mission.

Volunteer and Partner Coordination

Support recruitment, training, and management of volunteers for events and community initiatives.

Ensure volunteers and community fundraisers have the resources and guidance needed for successful participation.

Maintain accurate records of volunteer engagement and community partnerships.

Communications and Marketing Collaboration

Assist with creation of event‑related marketing materials, invitations, and digital communications in coordination with the Marketing and Communications teams.

Help maintain consistent messaging and branding across community and event initiatives.

Capture stories, photos, and data from events to support ongoing stewardship and promotional efforts.

Job Qualifications Education, Experience and Competencies

Bachelor’s Degree required, preferably in communications, public relations, marketing, or a related field.

2–5 years of experience in event coordination, fundraising, or community relations, preferably within a nonprofit or healthcare setting.

Experience managing volunteers, sponsors, or third-party fundraisers preferred.

Knowledge, Skills, and Abilities

Strong organizational and project management skills with attention to detail.

Excellent written and verbal communication skills.

Ability to work collaboratively with internal colleagues and external partners.

Proficiency in Microsoft Office Suite; experience with donor management or CRM systems preferred.

Positive attitude, creativity, and enthusiasm for WVU Medicine Golisano Children’s mission.

Ability to work flexible hours, including some evenings and weekends for events.

Physical Requirements

While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use his/her hands and fingers to handle or feel. The employee is required to stand, walk, reach with arms and hands, and possibly at times, climb or balance, stoop, or kneel. Vision abilities required to perform this job include close vision.
