****Swoon is seeking a highly proficient Administrative Assistant for a 2-year contract fully onsite in Boise, ID!*******
The Administrative Assistant provides high-level administrative support to the Pacific West District Distribution Director while also supporting daily district office operations, primarily based in Boise. This role requires a proactive, highly organized professional who can work independently, manage competing priorities, and communicate effectively with stakeholders at all levels of the organization.
Executive Support
- Provide primary administrative support to the Distribution Director, including:
- Travel and meeting coordination
- Calendar management and meeting scheduling
- Meeting preparation and support
- Ad hoc reporting as requested
Reporting & Budget Management
- Prepare monthly dealer reporting and executive-level reporting (annually and as requested)
- Maintain monthly budget and expense reports
- Monitor budget accuracy, ensure expenses remain balanced, and provide recommendations or guidance on budget-related items
Office & Event Support
- Support daily operations of the district offices, with primary responsibility for the Boise office
- Coordinate meetings, events, and district activities
- Serve as a key point of contact for in-office and remote district employees
Typical Work Environment
- Office-based role located in Boise
- Daily interaction with approximately 10–20 employees in the Boise office
- Regular virtual interaction with district employees located throughout the region
- The Distribution Director travels frequently, requiring the Administrative Assistant to work independently, proactively, and with minimal day-to-day oversight
Team Structure
- Reports directly to the District Distribution Director

Education & Experience
- High School Diploma or GED required
- 10+ years of experience as an administrative assistant supporting senior leaders or executives
- Internship experience accepted as qualifying experience

- Strong organizational skills with the ability to multitask and manage multiple priorities
Required
- Proficiency in Microsoft Office Suite (proof of proficiency required)
