Office Manager/Firm Administrator

Position Overview
The Office Manager/Firm Administrator is responsible for overseeing daily operations, ensuring efficient office processes, and providing administrative support to staff. This role is vital for maintaining a productive work environment and enhancing organizational effectiveness.

Key Responsibilities

  • Manage office operations and procedures to ensure organizational effectiveness.
  • Coordinate scheduling and calendar management for team members and executives.
  • Facilitate communication across departments and with clients to ensure smooth operations.
  • Provide exceptional customer service to clients and visitors, addressing inquiries and concerns promptly.
  • Maintain accurate bookkeeping and financial records, including invoicing and expense tracking.
  • Utilize Microsoft Office Suite to create reports, presentations, and other documents as needed.
  • Oversee inventory management, ensuring that office supplies are well-stocked and organized.
  • Plan and coordinate company events and meetings, including logistics and participant engagement.
  • Support team coordination by fostering a collaborative work environment and assisting with project management.
  • Implement and maintain an efficient document management system for easy access to important files.

Qualifications

  • Proven experience as an office manager, administrator, or similar role at a CPA firm or Law firm.
  • Strong scheduling and organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated customer service skills, with a focus on client satisfaction.
  • Basic bookkeeping knowledge and experience with financial tracking.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in inventory management and supply ordering.
  • Ability to plan and execute events and meetings effectively.
  • Strong team coordination skills and the ability to foster a collaborative atmosphere.
  • Familiarity with document management systems and best practices.
