GME Transitional Year Program Coordinator - Hillcrest

This is a full-time, benefit eligible position located at Scripps Mercy Hospital in Hillcrest onsite. The position is for day shift, Monday-Friday, reporting to Medical Education.
The Transitional Residency Program Coordinator will coordinate and administer the Transitional Year Residency program, focusing on the day-to‑day administration including the required reporting structures for residents and faculty. This role will be the first contact for scheduling conflicts, additional resources, or identifying inefficient workflow patterns. The coordinator will partner and work extensively with the program director and associate program directors to administer the program. The coordinator will perform all job duties as assigned and must adhere to all requirements, regulations, and procedures of any licensing board or agency, as well as comply with all Scripps Health’s policies and procedures.
TY Program Coordinator
Coordinate and administer the ACGME‑accredited Transitional Year program which consists of 18 medical residents.
Adhere to procedures and systems that ensure orderly and timely workflow.
Maintain knowledge of CA state medical licensing requirements, ACGME accreditation and program requirements.
Assist with resident travel and accommodations for national conferences involving scholarly activities and poster presentations.
Tabulate, collect, and distribute all evaluation forms regarding rotations, residents, and faculty. Compiles and generates feedback for appropriate follow‑up and reporting.
Work alongside program director to manage all aspects of annual residency recruitment via ERAS/Thalamus software: extend invitations to applicants, maintain interview materials, schedule resident interviews, participate in resident ranking meeting.
Coordinate and attend TY Program Evaluation Committee (TYPEC – twice per year) and TY Clinical Competency Committee (TYCCC – twice per year). Preparing agenda and meeting minutes in a timely manner for review by program director. Collects and prepares evaluations to ensure data sheets are up to date for review by program director and CCC.
Organize and maintain files on all trainees, as well as confidential administrative and evaluation files. Supervise maintenance of all records for verification of training of current trainees and graduates.
This position will be supported in attending the annual ACGME and AHME conferences.
