Executive Assistant to the SVP of Marketing, Salt Lake City, UT
Western Governors University is seeking an Executive Assistant to support the Senior Vice President of Marketing. The role requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of tasks with discretion and professionalism.
Compensation:
Grade: Professional 308 Pay Range: $73,000.00 - $109,400.00
Essential Functions and Responsibilities
Serve as a liaison between senior leadership and internal/external stakeholders.
Manage calendar, schedule meetings, travel arrangements, and prepare meeting materials.
Arrange travel for senior marketing team, prepare expense reports, ensure compliance.
Plan and coordinate meetings, conferences, and special events; prepare agendas, minutes, follow up.
Maintain electronic and physical file systems, manage confidential information.
Handle communications on behalf of senior leadership, draft correspondence and reports.
Oversee daily office operations and manage supplies.
Assist in monitoring and managing budgets related to the senior leader’s office.
Assist with special projects and initiatives; conduct research and data compilation.
Perform other related duties as assigned.
Knowledge, Skills, and Abilities
Fluency in fast‑paced, high‑performance environment.
High‑execution orientation with strong detail focus.
Excellent verbal and written communication skills.
Experience planning activities and events for 100+ people.
Exceptional relationship building skills.
Creativity and a sense of fun.
Proficiency managing calendars, scheduling meetings, arranging travel.
Basic budget and expense management skills.
Proficiency in Microsoft Office (Word, PowerPoint, Excel).
Self‑management, prioritization, and execution of multiple deadlines.
Ability to work flexible hours as needed.
Professional handling of confidential information.
Minimum Qualifications
Associate’s Degree.
8 years of related experience, including at least 3 years supporting executives.
Equivalent experience may substitute for education.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Ability to lift up to 15 pounds at times.
