About the Role:
The Executive Assistant serves as an extension of the CEO, operating seamlessly across both professional and personal responsibilities. As a highly trusted advisor with strong executive presence, you’ll manage complex stakeholders, anticipate needs, and bring order to a constantly changing schedule. You are intensely detail-oriented, proactively solve problems, and take pleasure in executing tasks efficiently — even on unpredictable, fast-moving days. The ideal candidate is driven by the firm's faith, mission, and vision.
Responsibilities:
Executive Support:
Maintain and manage high-volume, constantly shifting scheduling requests for the CEO: calendar management, appointments, meetings, calls, off-sites, board commitments.
Serve as the primary point of contact for internal and external stakeholders, relaying messages and inquiries with professionalism and discretion.
Handle incoming correspondence, emails, and phone calls, prioritizing and responding as necessary.
Capture all follow-ups, commitments, and action items during meetings and ensure they are project-managed through to completion.
Prepare meeting agendas, materials, presentations, and summaries with accuracy and real-time note-taking.
Assist in drafting, formatting, and proofreading correspondence, reports, and other documents.
Marketing Support:
Assist in the development and implementation of marketing strategies to promote the firm's brand and services, working closely with the Events & Marketing (E&M) manager, to align priorities and execution.
Assist in coordinating the creation and distribution of marketing materials — including presentations, documents, and newsletters.
Collaborate with external vendors and consultants, alongside the E&M role, to execute world-class marketing initiatives and campaigns.
Event Coordination and Special Projects:
Support the planning and execution of special events: board meetings, corporate retreats, investor presentations, and the annual Shareholder Summit.
Manage RSVPs, materials, communication, logistics, and day-of execution.
Assist in coordinating travel, scheduling, and preparation for company-wide meetings and gatherings, partnering with the Events & Marketing (E&M) manager.
Help run point on key company initiatives, cross-team coordination, investor updates, and portfolio-company needs — ensuring projects keep moving even when the CEO is in back-to-back meetings.
Office Management:
Ensure the office is well-maintained: clean, fully stocked, organized, and operational.
Maintain equipment, coordinate repairs, and manage office systems.
Routinely order meals and refreshments for meetings and team gatherings.
Handle swag, alongside the E&M Manager, ordering investor gifts, welcome gifts, holiday gifts, and other special items.
Review and book guest reservations and ensure all hospitality plans are properly executed.
Personal Support:
Assist with personal tasks, appointments, and errands.
Coordinate personal travel, including family members, and logistics.
Requirements:
Bachelor's Degree
4+ years of Executive Assistant experience or equivalent high-responsibility support role
Based in Charlotte, NC
25–35% travel – Ability and willingness to travel with the CEO, including occasional weekends, for meetings, company visits, board meetings, and events
Radically obsessed with being organized and thrives at crossing off a ‘to-do’ list
Able to take verbatim meeting notes on demand with a typing speed of 85+ WPM
Excellent verbal and written communication skills
Strong time management capabilities
Thrives in a fast-paced, ever-changing, high-growth environment
