Job Summary
Travis County's Juvenile Public Defender is looking for a temporary Office Assistant.
The Office Assistant is under close supervision and performs a variety of office/clerical functions related to the division/department. Responsibilities include greeting the public over the telephone or in person and referring them to appropriate individuals, departments, or agencies; providing counter service; performing routine office/clerical tasks such as correspondence, basic spreadsheets, mail distribution, file and record maintenance; assisting customers or providing information; maintaining logs and simple databases; and using independent judgment in interpreting and applying general office/clerical practices and procedures.
Distinguishing Characteristics
This is the first in a series of three general clerical‑related job classifications within the Administrative Support job family. It is distinguished from the Office Specialist by the general nature of clerical responsibilities (copying and filing) as opposed to specialized functional knowledge with independent decision‑making within established limits.
Duties and Responsibilities
Performs receptionist duties: answers telephone, directs calls, takes and relays messages, provides information, logs calls and visitors, faxes as required, greets and receives the public, answers general questions, refers individuals, performs messenger duties, delivers messages, maintains a ready reference list, records staff member whereabouts, monitors badges, schedules meeting rooms and appointments.
Performs mail distribution: opens, sorts, counts and distributes mail, picks up and delivers mail and materials, updates postage meter, ensures sufficient postage, updates mailing lists, prepares materials for mail outs.
Performs general office clerical duties: makes copies, orders supplies, coordinates pick‑ups, maintains timekeeping system, attends meetings and records minutes, develops forms, rosters and mailing lists, maintains suspense files, looks up information, generates labels, purges items, issues file or case numbers, reviews and processes documents, verifies submissions, scans data, drafts responses, assists clientele, maintains statistical data, performs data entry, enters and updates information, types correspondence, labels, envelopes, spreadsheets, reports, bills, vouchers, dockets, receipts, schedules, requisitions, notices, court waivers, discharge forms, updates records management documentation, maintains computerized tracking system.
Performs other job‑related duties as assigned.
Minimum Requirements
Education: High School diploma or G.E.D. AND one (1) year of office/clerical experience; or a combination of education and experience equivalent to the stated education, experience, and required knowledge, skills, and abilities sufficient to perform duties.
Preferred
Bilingual in English and Spanish.
Experience in data entry, general office machines, copiers, and computer equipment, including word processing, spreadsheets, databases, and a variety of software packages.
Knowledge, Skills, and Abilities
Knowledge of general office/clerical practices and procedures.
Knowledge of office/clerical telephone etiquette.
Knowledge of file management and techniques.
Knowledge of principles and procedures of record keeping.
Business English, spelling and arithmetic, letter writing, grammar and punctuation, and report preparation.
Skill in operating a variety of modern office equipment, including a computer.
Both verbal and written communication.
Ability to follow verbal and written instructions and directions.
Operate telephones.
Maintain records and reports.
Communicate verbally and in writing, exercising tact and courtesy.
Establish and maintain effective working relationships with departmental clientele, outside agencies, County employees, officials, and the general public.
Work Environment & Other Information
Physical requirements include the ability to lift/carry up to 20-50 pounds occasionally, visual acuity, speech and hearing, hand and eye coordination, and manual dexterity necessary to operate a computer and office equipment. Subjects include sitting, client/customer contact, standing, walking, vision to monitor, repetitive motion, stooping/kneeling, squatting, bending, and reaching to perform essential functions.
Travis County employees play an important role in business continuity. Employees can be assigned to business continuity efforts outside normal job functions.
Work Hours: 9 am – 3 pm, Monday‑Friday.
Location: Post Rd., Austin, Texas.
Department: Juvenile Public Defender.
