Position Summary
The Executive Assistant provides the General Manager with personalized secretarial and administrative support in a well‑organized and timely manner. The role also offers administrative assistance to the Board of Directors and Board‑appointed committees, protecting and maintaining the confidentiality of all information.
Position Responsibilities
Participate as a member of the senior management team, supporting the General Manager, the Board of Directors, and Board‑appointed committees by assisting with scheduling and correspondence.
Prioritize and follow up on incoming issues and concerns related to the property and departmental needs.
Executive Director‑Level Responsibilities
Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Draft letters and documents, collect and analyze information, and initiate communication through various methods.
Maintain the executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Welcome guests and customers by greeting them in person or on the telephone, answering or directing inquiries, and providing support to the front desk as requested by the General Manager.
Maintain confidentiality while working on correspondence, minutes, or projects on behalf of the General Manager.
Collect and analyze data necessary to prepare reports, policies, presentations, and/or correspondence on behalf of and under direction of the General Manager.
Maintain filing systems for all documents produced on behalf of the General Manager.
Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and other means.
Be responsible for the overall organization and day‑to‑day needs of the Executive Office.
Assist with all employee correspondence and coordinate meetings for staff and the Board of Directors.
Perform other related duties as assigned.
Board Of Directors Responsibilities
Support the Board of Directors and Board‑appointed committees by arranging meetings, working sessions, workshops, retreats, and training sessions as required by governing documents or requested by the General Manager.
Assist the General Manager in preparing draft agendas for all meetings, working sessions, workshops, retreats, training, and other requested meetings of the Board of Directors.
Record minutes for Board meetings and prepare action items resulting from Board Working Sessions.
Maintain files for the governing documents of the Association, including Board correspondence and Board policies.
Have working knowledge of all Board‑appointed committees.
Perform other related duties as assigned.

Ability to work collaboratively and cooperatively within the department and with other departments.
Physical Demands & Work Environment
Primarily sitting at a workstation utilizing a computer in an office setting.
Walking and driving through the community as needed.
