What We're Looking For
We're looking for an Executive Assistant to support our CEO directly, with additional support to the executive leadership team (CFO, CMO, General Counsel). But let's be clear – this isn't a “stay in your lane” kind of role. We need someone who sees what needs doing and does it. Full stop. You'll handle the core EA responsibilities – calendar, travel, logistics – but you'll also be the person who makes things happen when there's no playbook. The exec team is lean and moves fast. We need someone who can keep up, pitch in wherever needed, and never utter the words “that’s not my job.” This is a high‑trust position at the heart of a company going through an exciting growth phase. You'll have visibility into everything, relationships with everyone, and real impact on how smoothly we operate. The right person will become indispensable quickly – not because they're protective of their turf, but because they make everyone around them more effective.

Key Responsibilities
Calendar & Schedule Management
Own the CEO’s calendar across multiple time zones
Schedule internal and external meetings
Build in appropriate prep time and buffer between commitments
Proactively flag conflicts and propose solutions
Know what’s coming before anyone has to ask
Travel Coordination
Book all flights, hotels, ground transportation (domestic and international)
Create detailed itineraries with confirmation numbers, addresses, contact info
Manage last‑minute changes without drama
Track loyalty programs and preferences
Handle visa requirements, travel insurance, and any logistics curveballs
Executive Team Support
Provide administrative support to exec team as needed
Coordinate scheduling for leadership team meetings and cross‑functional sessions
Assist with travel arrangements for exec team when required
Help prepare materials for board meetings, investor presentations, and leadership offsites
Act as a coordination point across the executive team – knowing where everyone is and what’s coming up
Support onboarding logistics for new senior hires
Be a reliable point of contact that the whole leadership team can count on
Communication & Coordination
Draft routine correspondence
Monitor and triage email where appropriate
Ensure follow‑ups don’t fall through the cracks
Be the connective tissue that keeps information flowing across the team
General Support & Everything Else
Research and prepare briefing materials as needed
Coordinate events, offsites, and team gatherings
Manage vendor relationships and procurement for office/team needs
Handle ad‑hoc projects that don’t fit neatly elsewhere
Spot gaps and fill them before being asked
Basically: if it helps the team run better, it’s in scope
Requirements
Hard Skills (Must‑Haves)
Technology & Tools
Highly proficient in Google Workspace (Calendar, Gmail, Drive, Docs, Sheets)
Comfortable with Microsoft Office (Word, Excel, PowerPoint)
Experience with video conferencing platforms (Zoom, Google Meet, Teams)
Able to troubleshoot basic tech issues independently
Quick to learn new software and systems
Familiar with travel booking platforms and tools
Experience with expense management software (Expensify, Concur, or similar)
Comfortable using AI tools to increase productivity (ChatGPT, Claude, etc.)
Administrative
Proven experience managing complex, ever‑changing calendars
Track record coordinating multi‑leg international travel
Strong written communication – can draft professional emails that don’t sound robotic
Ability to manage multiple priorities without dropping balls
Nice to Have
Experience supporting C‑level executives
Familiarity with investor relations or board coordination
Experience in healthcare, telehealth, or pharmacy sector
Project management tool experience (Asana, Monday, Notion)

Logistics
Location: Remote (US‑based preferred for timezone alignment) or Hybrid in Clearwater, FL or Dallas, TX
Hours: Full‑time, with flexibility required during peak periods, like some weekends.
Reports to: CEO directly, with dotted‑line support to executive leadership team
