Recruiting Operations Coordinator Location: Portland, OR – Can be fully remote, but must reside anywhere in Oregon, US. Employment type: Contract, possibly to hire. Hours: 40hrs/week, M-F. We are seeking a Recruiting Operations Coordinator who thrives in a high-pressure, fast-moving environment and has supported hiring teams in scaling organizations such as startups, venture-backed companies, or technology-driven groups. The role requires exceptional operational discipline, strong partnership with talent teams, and the ability to move quickly without sacrificing accuracy. You will maintain highly organized recruiting workflows, coordinate complex interview schedules, and ensure candidates and stakeholders have smooth transparent experience. The position also plays a central role optimizing hiring systems and reporting. You will work closely with recruiters, engineering and product leaders, and operations partners to support aggressive growth targets. Core Responsibilities Coordinate daily recruiting operations in an environment where priorities shift rapidly. Drive accurate candidate pipeline tracking and ensure all data updated in applicant tracking system. Coordinate interviews across multiple time zones, teams, and seniority levels. Produce clear dashboards and reports that highlight funnel health and operational gaps. Partner with hiring managers to reinforce consistent, scalable processes. Identify workflow breakdowns quickly and recommend solutions that improve efficiency and collaboration. Skills/Knowledge/Abilities Experience in a fast-paced recruiting environment (scaling startup, venture-backed, or IT focused team). Strong command of applicant tracking systems and ability to build or refine talent operations workflows; preferably experience with AI-powered ATS like Lever, Greenhouse, BambooHR. Track record of delivering accurate scheduling and communication under tight timelines. Comfort analyzing recruiting metrics and translating data into operational recommendations. Ability to collaborate closely with cross-functional leaders and drive alignment. Process-minded approach with focus on continuous improvement and operational rigor.
