Under the direction of the Leave & Disability Manager, the LOA Administrator manages all leave of absence processes and provides guidance for effective administration of programs, policies, and procedures. This critical role makes the incumbent the subject‑matter expert and go‑to person for team members and leaders across the enterprises. The role assists with strengthening compliance practice, researches questions from team members regarding leave policies, and ensures forms are collected, completed correctly, recorded, and in accordance with deadlines.

Essential Duties And Responsibilities

Serves as subject matter expert for the leave programs in alignment with HR and Legal departments. Interprets and administers leave programs and policies in accordance with applicable law. Provides proactive case management, early intervention, risk management, and coordinates administrative aspects of leave cases, tracking hours used/taken, communicating updates to stakeholders, and following up on all LOA inquiries from request to return.

Works closely with team members across the enterprises, providing guidance, counsel, and education on leave policies, procedures, and programs to ensure understanding of eligibility and options while delivering excellent customer service.

Processes leaves timely and accurately, ensuring compliance with all applicable laws, regulations, and policies. Manages leave cases, reviews medical documentation, approves or denies leave based on medical information, updates records, and maintains accurate documentation.

Manages Workday cases, workflow optimization, consistency, email outreach, and phone call messages within the defined service level expectations.

Submits EDD State Disability Claims for employees on leave and coordinates disability benefits and pay.

Ensures HIPAA compliance regarding authorized use, training, storage, and destruction of protected health information. Updates HR staff on state and federal changes related to regulated leaves.

Performs other duties as assigned to support efficient operations.

Education, Experience And Qualifications

Bachelor’s degree in an applicable field and required certifications.

Minimum two (2) years of experience in Human Resources managing leave of absence cases.

Minimum two (2) years of experience with Employee Relations issues preferred.

Relevant experience may be considered in lieu of minimum educational requirements.

Knowledge, Skills And Abilities (KSAs)

Experience administering FMLA, CFRA, military, pregnancy disability, parental and personal leaves.

Managed substantial portion of ER responsibilities, not just limited support.

Experience with leave and accommodation case‑management systems, navigating, tracking and documenting accurately.

Strong ownership of LOA case management.

Knowledge of FMLA, USERRA, PDL, FEHA, Title VI, and ADA requirements.

Analytical skill to translate complex information into actionable plans.

High attention to detail, strong organizational skills, customer‑service orientation, and ability to manage high volume work in a fast‑paced, deadline‑driven environment.

Handles sensitive and confidential information professionally.

Deep knowledge of disability management, return‑to‑work strategies, DAA amendments, and related statutes.

Experience in a high‑volume, 24/7 environment with accommodation cases.

Problem‑solving, organization, scheduling, and follow‑up skills.

Builds and maintains effective professional relationships with strong interpersonal skills.

Strong written and verbal communication, including presentations at all levels.

Exceptional customer service, sense of urgency, follow‑through.

Meticulous attention to detail and willingness to accept constructive feedback.

Manages multiple tasks in deadline‑driven environments.

Examines documents for accuracy and completeness.

Works independently and collaboratively within a team.

Generates reports and/or presentations via data compilation.

Solid skills in Microsoft Office (Excel, Word, PowerPoint, Outlook).

Licenses, Certifications & Registrations

May be required to obtain and maintain a gaming license per discretion of San Manuel Tribal Gaming Commission.

Must have a valid driver’s license with an acceptable driving record.

Primary work environment: climate‑controlled office setting.

Travel to meetings, trade shows, and conferences.
