Health Center Front Office Supervisor – Metro Healthy Communities Location: Princeton, NJ

Salary: $70,000 – $75,000 per year (approx.)

Statement of Purpose The Front Office Supervisor serves as a supportive resource by managing the front office operations. This position is accountable for managing data‑entry in the EHR for all Medical, Behavioral Health and Psych Services. It is responsible for ensuring efficient operations with front office duties including customer services, patient collections, appointment check‑in/out process, scheduling, provider schedule maintenance, staff coverage and other duties assigned to the receptionist. The role audits daily to minimize data entry errors using eClinicalWorks EHR. The supervisor works in primary care, behavioral health, psych and other social services in an FQHC (Look‑Like) setting with supportive services and will require oversight of these departments in all established health center locations.

Primary Tasks/Responsibilities

Ensure provider schedules and patient appointments are consistent with the needs of the health center.

Maintain general office support functions to ensure efficient utilization of time, scheduling meetings, patients and appointments, and coordinating with other services and programs.

Maintain and report requested statistics or reports to management.

Perform and maintain communication as delegated by professional staff related to patient management or clinic operations.

Maintain open and consistent communication with staff and other outside contacts affiliated with health center functions.

Coordinate department correspondence with clinic supervisors and facilitate ongoing communications for efficient clinic operations.

Maintain departmental records and filing systems to ensure prompt retrieval of information.

Maintain appropriate levels of office supplies, submit approved purchase requisitions.

Direct oversight and management of the Front Office staff at each health center location.

Develop and maintain the Front Office Staffing Schedule.

Supervise workflow of Front Office and Scheduling staff to ensure successful execution of responsibilities.

Communicate with the patients’ most closely associated personnel and keep them informed of any additional patient needs or treatment modifications related to billing/collections issues.

Monitor department metrics and deliverables to ensure adequate productivity.

Perform front office duties as necessary to maintain daily operations, stepping in to support team members during absences or peak times.

Provide coaching and ongoing feedback to direct reports and front line staff to support productivity, compliance and professional development.

Collaborate with management to implement and maintain new policies and procedures and maintain compliance with existing ones.

Provide accurate daily, weekly, monthly and annual statistical data on staff productivity as requested by management.

Comply with, maintain and submit front office reports and data within required deadlines.

Complete, compile and submit program end‑of‑month reports, staff audits and other necessary reports within deadline timeframes.

Determine the appropriate format within EMR system to initiate data entry based on patient encounter information.

Analyze, research and correct data entry errors using electronic medical record.

Other duties as assigned.

Education/Professional Requirements

Bachelor’s degree in healthcare, business or a related field.

Minimum of 2–3 years working in a healthcare setting.

Minimum of 2–3 years in management, preferably in a healthcare setting.

Knowledge, Skills and Competencies

Knowledge and understanding of Health Center operations processes.

Ability to organize and prioritize work and manage multiple priorities.

Excellent verbal and written communication skills.

Excellent attention to detail.

Ability to research and analyze data.

Ability to work independently with minimal supervision.

Ability to establish and maintain effective working relationships with providers, management, staff and external contacts.

Proficient use of Microsoft Office applications (Word, Excel, Outlook) and internet resources.

Requirements

Must possess and maintain a valid Florida driver’s license and proof of insurance.

Must have a reliable and accessible automobile.

Must pass required fingerprinting, Level II background checks and employment eligibility verification through the U.S. Department of Homeland Security’s E‑Verify system.
