Office Administrator Job Summary The Office Administrator will oversee the office's general administrative functions and activities.
Supervisory Responsibilities
Oversees the daily working activities of the office.
Duties/Responsibilities
Performs or facilitates maintenance of office equipment, including cleaning, maintenance, and repairs.
Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
Maintains inventory of office supplies; orders new supplies as needed.
Maintains office files; implements an efficient system for other staff to access files and records.
Performs other related duties as assigned.
Employee event planning.
Key Responsibilities
Office Operations:
Manage day-to-day office operations and procedures to ensure efficiency.
Oversee the maintenance of office equipment, supplies, and the workspace environment.
Ensure that office areas are clean, organized, and well-maintained.
Administrative Support:
Provide administrative support to senior management and staff as needed.
Prepare and organize meetings, appointments, and company events.
Coordinate travel arrangements and accommodations for staff as required.
Inventory Management:
Order and maintain inventory of office supplies and equipment.
Monitor and track budget and expenses for office operations.
Communication & Coordination:
Act as the first point of contact for visitors and external partners.
Coordinate internal communication to ensure staff is informed of key developments.
Handle incoming and outgoing mail, packages, and deliveries.
Technology Management:
Oversee the setup and maintenance of office technology systems (computers, phones, software).
Troubleshoot minor technical issues and liaise with IT support as needed.
Health & Safety:
Ensure compliance with health and safety regulations within the office.
Conduct regular checks to ensure the office environment is safe and meets legal requirements.
Safety Coordinator for the building- Fire Drills (yearly).
Event Planning:
Organize company events, meetings, and team-building activities.
Required Skills/Abilities
Ability to type at least 60 words per minute.
Extensive knowledge of office management procedures.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Proficient with Microsoft Office Suite or related software.
Education And Experience
A high school diploma or equivalent is required; an associate’s degree in office administration or a related field is preferred.
At least three years of administrative and clerical experience required.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 40 pounds at times.
Performance Review with CEO and Director Of HR.
