Responsibilities
Always be compliant with all company and regulatory policies and procedures.
Operate assigned home(s) to ensure company goals including meeting or exceeding budgets and clinical effectiveness set by the company and/or customers.
Support and supervise assigned Direct Support Professionals (DSPs), ensuring each has the training and skills to provide high‑quality care.
Maintain assigned home(s) and ensure good working order of facilities, systems, and furnishings.
Assign repairs and maintenance duties to staff when possible; contact the Beacon maintenance department or supervisor for facility maintenance issues.
Assist the direct supervisor with contracting approved services and evaluate contractors’ performance.
Maintain cleanliness of assigned home(s) and vehicle(s) by developing daily duties for all employees for each shift.
Communicate daily with the direct supervisor.
Manage on‑call responsibilities and report on‑call hours as needed.
Review or send important topics to the direct supervisor for monthly home meetings, prepare meeting rooms, and schedule staff.
Build positive relationships with referral sources, government and licensing agencies, and assist in coordinating admissions.
Collaborate with Beacon leadership and functional areas to improve care quality, compliance, and employee performance.
Maintain professional conduct and enforce the same from home staff when on duty.
Perform other duties as assigned or established by the company.
Regulatory, Contractual, and Accreditation Compliance Responsibilities
Contact the direct supervisor if regulatory agencies, adult protective services, investigating bodies, or police arrive at the home and cooperate with investigations.
Complete incident reports in the company electronic system and send a copy to the direct supervisor for approval; file the report in the incident record (IR) in the designated area.
Ensure that all incident report actions, corrective action plans (CAP), and plans of correction (POC) are implemented accurately and timely.
Assist the direct supervisor with annual documentation updates and inform them of status changes requiring updates.
Ensure compliance with employee training and certifications to meet licensing standards, recipient rights, and accrediting bodies.
Communicate with state and local regulators openly as a respected partner.
Census and Budget Responsibilities
Collaborate with the direct supervisor, referrals, and the regional team to manage census, including leaves of absence (LOAs), to meet budgeted revenue targets.
Provide the direct supervisor with logs and documentation supporting care and other required documentation.
Manage payroll costs through recruitment/hiring, staff scheduling, and monitoring trends affecting costs such as no‑shows, terminations, and overtime.
Manage the home budget, petty cash, and individual funds in accordance with company policies, ensuring timely and accurate financial reporting.
Ensure accurate time‑and‑attendance and payroll reporting.
Staffing and Human Resources Responsibilities
Keep the direct supervisor informed of staffing changes or shortages.
Monitor and maintain employee scheduling and time worked to align with the annual budget.
Ensure open shifts are staffed and locate replacement staff as required.
Oversee all residential care functions at the assigned home or program, collaborating with HR, training, and recruiting for interviews, evaluations, separations, and new employee training.
Inform the direct supervisor of disciplinary issues and complete COS when required.
Conduct on‑site training for DSPs and develop supportive teams.
Notify employees of scheduled classes, dates, times, and locations.
Set goals and provide feedback to DSPs on annual performance reviews.
Ensure new employees receive orientation and integration into the team.
Provide monthly check‑in discussions with direct reports.
Clinical and Individual‑Served Care Responsibilities
Collaborate with the clinical team to ensure proper clinical actions maintain or improve individuals’ health, safety, and stability.
Collaborate to oversee activities and programs, identifying improvements to enrich social, emotional, mental, and physical needs and increase independence.
Communicate regularly with all internal and external clinical, medical, and regulatory agencies.
Ensure DSPs attend individual functions and maintain regular interaction per person‑centered plans.
Assist individuals in skill building and community activities.
Review individual status and service capability with the direct supervisor.
Apply trauma‑informed care and promote an organizational culture responsive to individuals’ needs.
Quality Assurance, Monitoring and Reporting Responsibilities
Oversee administrative, clerical, clinical record‑keeping, medication administration, transportation, and care coordination at the home site(s).
Conduct fire and emergency drills as required.
Submit accurate daily entries in the electronic health records (EHR).
Monitor physician‑directed meal plans and kitchen sanitation, meal quality, staff appearance, cleanliness, and individual satisfaction.
Ensure daily reminder list tasks are completed timely and inform the direct supervisor of deficiencies.
Report work injuries within 24 hours to the direct supervisor and HR.
Conduct random home and vehicle inspections, correcting violations promptly.
Conduct random individual audit reviews and communicate findings to supervisors and leadership.
Maintain confidentiality of HIPAA‑compliant information.
Encourage positive relationships among individuals, families, communities, regulatory agencies, and employees.
Protect privacy, confidentiality, and security of all medical records and proprietary information per HIPAA and contract terms.
Promote Beacon positively and model core values.
Communicate effectively with individuals, including those who are cognitively impaired.
Maintain and sustain a safe community environment and workplace.
Cooperate with Beacon Specialized Living, DHS staff, or other regulatory bodies during inspections or investigations.

Education & Qualifications
Minimum of 2 years of college coursework in business, social science, or a related human service discipline preferred; high school diploma or GED required.
2–3 years of prior leadership experience in a healthcare or behavioral healthcare field preferred.
1–2 years of prior management or supervisory experience preferred.
Approved to work within BSLS programs by state, federal, and government entities.
Required to maintain industry‑required trainings and TB screenings (for select markets).
Pass a criminal background check and meet Central Registry, CARI, criminal background check, and drug testing requirements (NJ only).
Excellent communication skills, both verbal and written.
Demonstrate problem‑solving ability and identify solutions.
Demonstrate core competencies related to IDD services and individuals with mental health concerns.
Attention to detail and multitasking ability.
Complete required training for accrediting agencies and regulatory bodies.
Valid driver’s license.
Proficiency with office equipment and information technology software.

Required Information Technology (IT) Systems Skills and Proficiency Beacon Specialized Living Services (BSLS) uses Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, OneDrive), HRIS systems, Attendance and Time Clock systems, Electronic Health Record, Electronic Medication Administration record‑keeping systems, Clarity, and other systems. The Care Team Manager will become proficient with these IT systems and any future systems deployed by BSLS.
