DEPARTMENT: Lerner Theatre
POSITION: Box Office and Finance Assistant
DIVISION: Lerner Theatre
STATUS: Full-time
CATEGORY: Hourly, $20
FLSA: Non-Exempt
REPORTS TO: Box Office Manager
DATE: 2025
Job Summary The Box Office and Finance Assistant will support the Box Office Manager and the Director of Events and Finance with the daily operations, financial reporting, and the Lerner team as instructed.
Principal Duties and Responsibilities Box Office Duties
Assist with daily operations of running the box office.
Prepare daily box office audits
Process phone call sales.
Assist patrons as they come to the door with sales, questions, inquiries.
Provide detailed information on all current & upcoming events.
Must have detailed knowledge & experience with Ticketmaster software.
Assist with processing and returning consignments.
Assist Box Office Management with larger ticket projects, such as season tickets.
Update box office areas with current event information.
Update box office communications manual.
Keep track of Ticketmaster ticket stock and notify appropriate staff for ordering.
Assist Box Office Manager with scheduling for all box office staff.
Work first day on-sales and presales for events, as needed.
Clean & organize Box Office space.
Provide information to account for gift certificate audits.
Assist Box Office Manager with open and close of Box Office, as needed.
Event and Office Support
Assist event staff regarding pre-show set-up and activities.
Assist with training all new hires according to Lerner policy and procedures.
Attend weekly Lerner staff meetings.
Attend weekly meetings with Box Office Manager.
Other duties as assigned.
Assist with patron voicemail and emails, as assigned.
Financial Support
Maintain internal donation database, including appropriate acknowledgement communications.
Assist the Director of Finance and Events with Encode: entering weekly receivables, including cash and check sales, credit cards, online Ticketmaster sales, and donations; enter weekly payables into Encode.
Make daily bank deposits
Assist with daily outgoing mail, drop off and delivery to City Hall and the controller’s office.
Assist with ordering supplies
Other Duties and Responsibilities
Understand and be capable of handling problems when needed within the operations of the theatre box office.
A guest centric attitude in all activity both internal and external
Other duties may be assigned.
Education And Experience
Graduated from an accredited high school.
Experience in management and supervision.
Must have a valid driver’s license.
Good public relations.
Knowledge, Skills, and Abilities
Working Knowledge of Microsoft Office and other web-based tools as needed.
Ability to deal effectively, courteously and efficiently with fellow workers, staff, and general public.
Knowledge of accounting and ticketing software relating to promoter, facility and patron needs.
Physical, Mental, and Visual Skills
Logical thinking and problem solving.
Ability to get along with others.
Flexibility to work varied hours.
Focus on cleanliness and orderliness throughout the building.
Working Conditions Ability to work under stress and at a fast pace and always maintain a pleasant attitude at the same time. Always treat the public kindly. Scheduling flexibility required with varied hours at times.
Post Offer Testing Requirements
The City of Elkhart is a Drug Free Workplace. Therefore, successfully passing a post offer drug screen is required (random drug testing may be conducted after employment).
Background checks producing acceptable BMV and criminal history reports required.
