OFFICE SERVICES SPECIALIST III

The Department of Genetics is looking for an OSS III to join a fast-moving department and serve as the first point of contact for those visiting the department. This role will provide administrative support to the Executive Administrator, the Research Division Director, and other stakeholders.
Under minimal supervision, performs department‑specific office and clerical duties of a moderately complex nature. Tasks may include maintaining department databases, records and files, gathering and interpreting data to construct detailed reports, and assisting in monitoring department budgets. May direct the work of other clerical employees in a lead capacity. May perform patient scheduling, insurance authorizations/verification, assist with human resources related issues, and handle confidential information.
Duties and Responsibilities
1st Point of contact for the Dept of Genetics Chair Office.
Process payment requests for invoices and POs, One Card Request Forms.
Ordering lunch/refreshments for departmental events.
Help organize the Seminar Series Promotion and Tenure Coordinator Backup.
Organizes faculty recruitment agenda.
Manage conference room and admin calendars.
Orders office supplies.
Process One Card Request Forms for new Genetics employees.
Physical Security request for internal and external access.
Perform other duties as assigned.
Salary Range : $15.00 – $21.15
High School diploma or GED and four (4) years of related experience required.
Preferred Skills
Excellent communication and people skills
Ability to manage various office administrative aspects.
Precision and attention to detail.
Ability to perform work accurately, efficiently and with minimal errors.
Experience with Microsoft Office programs.
Strong troubleshooting abilities.
Ability to multi‑task.
Ability to work independently.
Organizational skills / Prioritization skills.
Written and verbal communication skills.
