Job Overview
Our Diamond Apartment portfolio in Oklahoma City and Norman, OK is looking for a Full‑Time Regional Property Manager. The Regional Property Manager is responsible for the supervision of the total operations of individual apartment communities in his or her portfolio, overseeing staff and reporting to the Regional Vice President/Senior Vice President of Property Management. Responsibilities
Conduct monthly/quarterly site visits for physical inspections, including curb appeal, models, market‑ready units, vacant units, common area maintenance projects, and major capital improvements. Oversee and spot‑check turn standards for work performed in‑house or by outside contractors. Monitor move‑out procedures, ensuring apartments are ready within the Inland standard time of seven calendar days or five working days. Evaluate landscape and curb appeal with the Property Manager and develop a maintenance plan. Solicit and approve bids for major contract work, such as plumbing, electrical, and equipment replacement. Monitor collections of all property revenue sources including rent, ancillary and vending income, refunds, and collections. Participate in the coordination of the Due Diligence process. Ensure tax‑credit properties are compliant, if applicable. Assist in reviewing annual budgets, ensuring property adherence to the approved budget. Review and inspect all capital replacement plans, ensuring they are within the scope of the Asset Business and get necessary approvals. Monitor rent collections and landlord/tenant actions, supervising arrears and collection attempts. Advise Property Managers on income/expense and collections. Maintain control over community‑level expenditures, reviewing purchase requisitions of $500 and over. Approve expenses over $5,000 with Facilities VP and Asset Manager. Review monthly cash flow and variance reports, identifying opportunities to increase income and reduce costs. Communicate major deviations in writing to Asset Manager. Ensure assigned properties are leased to full capacity in accordance with budget guidelines. Work with leasing teams to achieve property goals and verify effective leasing techniques. Monitor traffic, conversion ratios, renewal information, and marketing data, providing up‑to‑date information upon request. Monitor Yieldstar rents and revenues, ensuring compliance. Support marketing issues such as integration concerns, pricing feeds, and website accuracy. Oversight of community marketing communications across print, internet, social media, review sites, and signage. Communicate regularly with Senior Management to provide operational updates. Continuously enhance industry knowledge through publications, reports, and seminars. Prepare and review annual budgets with Senior/Asset Management input. Prepare weekly and monthly reports, coordinating reviews with Regional VP, SVP, and/or Asset Manager. Monitor status of management systems (Yardi, UltiPro, Avid, etc.) and ensure staff training. Supervise vendor setup and contract negotiations. Audit files, invoices, petty cash receipts, and PEX cards for policy compliance. Handle resident concerns with a positive customer‑service attitude. Communicate with residents about property events that may cause disruptions. Conduct periodic inspections with current residents, courtesy calls, and recent move‑ins/move‑outs. Review notices to vacate to determine cause of move‑out. Initiate policies to maintain resident communications (complaints, service requests). Develop and implement resident retention programs, including events and promotions. Ensure distribution of all company or community notices. Hire, train, motivate, supervise, and terminate on‑site staff, achieving operational goals. Review and approve bi‑weekly payroll and bonuses, ensuring efficiency through training and counseling. Coordinate a productive team by motivating, delegating, and prioritizing assignments. Work with Property Managers to plan weekly/daily staff schedules. Administer consistent action plans for performance issues, communicating with HR and management. Ensure timely completion of all personnel administrative processes (evaluations, salary reviews, timesheets). Provide support to staff to encourage teamwork and leadership. Provide clear leadership aligned with company philosophy. Monitor and control staffing levels for proper coverage. Ensure compliance with Inland’s recruiting, screening, and hiring policies. Requirements
College degree preferred. Certified Apartment Manager (CAM) or Accredited Resident Manager (ARM) preferred. Real Estate Sales, Broker, or Leasing License as required by state. Minimum five years of industry experience overseeing residential property(ies) with supervisory responsibilities. Strong English reading/writing skills, intermediate math proficiency, and proficiency with resident‑management software. Ability to apply logical thinking to problem definition, data collection, fact establishment, conclusion drawing, and action initiation. Availability to serve on‑call as scheduled or as necessary. Willingness to travel to company gatherings within or outside the local area. Achieve Fair Housing certification before interacting with prospects or residents. Effective communication of ideas and goals to diverse groups. Positive attitude and professional demeanor at all times. Competence in personal computer skills (keyboard, internet search, math), Microsoft Office (Word, Excel, Outlook), and community software applications. Basic knowledge of OSHA laws and regulations. Participation in training to comply with new or existing laws. Availability to work any of the seven days of the week, 52 weeks of the year, including overtime when requested.
