Front Office Coordinator/Clinic Attendant The Front Office Coordinator/Clinic Attendant will work with a multi-disciplinary team in the delivery of general primary care medical services in a community health setting. Under the general supervision of the Center Manager or Center Supervisor, the Coordinator is responsible for ensuring efficient and friendly front-office operations including reception, appointment scheduling, patient registration and check-in, telephone operation and financial eligibility, and providing lobby security.

This full-time position is benefit-eligible and based at the Oakland TRUST Health Center.

The position is represented by SEIU-UHW. Salaries and benefits are set by the collective bargaining agreement; employees must remain members in good standing of SEIU-UHW as defined in the CBA.

LifeLong Medical Care is a large, multi-site federally qualified health center with a rich history of providing innovative health and social services to a diverse patient community. Our patient-centered health home offers integrated services including psychosocial support, referrals, chronic disease management, dental, health education, and home visits.

Benefits Compensation: $21–$22 per hour. Benefits include medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits (including ten paid holidays), Flexible Spending Accounts, and a 403(b) retirement savings plan.

Administrative Duties

Greets all patients and visitors warmly, employing positive customer service in all interactions.

Responsible for patient reception and intake, including registration, check-in, and scheduling future appointments.

Performs computer data entry, document and card scanning, and validation.

Prepares eligibility information for each scheduled clinic patient at least two days ahead of the appointed time.

Attends meetings related to the eligibility process and shares information with appropriate clinic personnel; meetings are typically off-site and may require the use of a personal vehicle or other transit.

Assists patients with referrals to Medi‑Cal, Cal Fresh, Health Pac, CARES and other programs.

Manages patient flow from front to back office.

Answers clinic phones, directs calls appropriately, and makes follow-up calls.

Receives and distributes all incoming correspondence, including mail, faxes, interoffice mail, courier items, and packages.

Maintains appearance of waiting areas and the reception desk.

Maintains inventory of front‑desk supplies and forms.

Generates correspondence as requested.

Performs other duties as assigned by the Center Supervisor/Center Director.

Clinic Attendant Duties

Greets all patients and visitors warmly, employing positive customer service in all interactions.

Maintains a calm and peaceful environment in the waiting room, inviting all.

Provides patient de-escalation as needed and mobilizes the team to medical or mental-health emergencies.

Interfaces with law enforcement during and after escalation events involving patients.

Ensures patient needs are met by other team members, working to reduce wait times.

Performs other duties as assigned by the Center Supervisor/Center Director.

Strong organizational, administrative, and problem-solving skills, and ability to be flexible and adaptive to change.

Excellent interpersonal, verbal, and written skills with cultural sensitivity.

Ability to prioritize competing work demands and tasks from clients or staff.

Ability to work effectively and calmly under pressure in a positive, friendly manner.

Works in a team-oriented environment with a number of professionals with different work styles and support needs.

Conducts oneself in external settings in a way that reflects positively on LifeLong Medical Care.

Job Requirements

High school diploma or GED.

One year of experience in the medical field.

Excellent customer service skills and ability to maintain confidentiality.

Proficiency in standard office software (Microsoft Office).

Job Preferences

Bachelor’s degree in health science or a related field.

Proficiency in Electronic Health Records (EHR) and Electronic Practice Management Systems (EPM).

Experience working in a community health center.
