Construction Project Administrator
– Project Management Analyst (PMA) – Real Estate Team
Location:
Hybrid – 2 days onsite in Oakland office + monthly meetings at SF location, otherwise remote
Schedule:
Monday–Friday, 8am–5pm
Overview The Project Management Analyst (PMA) is a vital member of the Real Estate team, providing comprehensive support for capital projects. The PMA will oversee and coordinate tasks within project teams, contribute to planning, maintain compliance documentation, review contracts and financial data, monitor progress, and conduct project analyses. This role ensures design and construction projects are on schedule, within budget, high‑quality, cost‑effective, and appropriate to client needs.
Key Responsibilities
Support all elements of project management from concept through closeout, including scoping, budgeting, funding, invoices, applications for payment, procurement, construction management, financial reconciliation, budget/schedule tracking, and closeout for large and small projects.
Collaborate frequently with internal departments (Finance Service Center – Capital Accounting, Supply Chain Management, Facilities, Budget Office) and external consultants/contractors.
Apply advanced project management skills and methodologies to ensure strict compliance with policies and procedures.
Exercise sound judgment when addressing issues of moderate scope and complexity, selecting appropriate methods and evaluation criteria.
Contribute to process improvement initiatives by identifying inefficiencies and proposing solutions.
Demonstrate strong customer service skills and excel in both verbal and written communication.
Thrive in a team‑oriented environment, demonstrating patience and a collaborative mindset.
Assist multiple project managers across a range of projects, primarily campus modernization (new hospital, parking garage, site work) and routine capital projects.
Review and process vendor invoices and change orders, ensuring validity per construction contracts.
Enter and analyze project data in management systems (Unifier – Oracle Primavera, Projecto – FileMaker‑based; prior experience not required, training provided).
Perform manual reconciliations between project management and financial systems.
Maintain meticulous task tracking to ensure nothing is overlooked.
Required Qualifications
Bachelor's degree preferred in a related area (administrative support, analysis, project management) and 1–3 years of relevant experience, ideally in a complex university/college or large commercial/institutional setting, or equivalent education/experience/training.
Demonstrated experience building and maintaining strong professional relationships.
Understanding of relevant industry practices.
Ability to accurately proof contracts, leases, floor plans, and research technical records.
Strong verbal and written communication skills.
Skilled in managing vendor relationships and coordinating with contractors, property managers, and stakeholders.
Good organizational and analytical skills; detail‑oriented.
Demonstrated Microsoft Office Suite skills.
Ability to analyze problems, determine solutions, and make decisions based on analysis.
Ability to work independently and as part of a team, multi‑tasking under pressure of competing priorities.
Ability to identify, collect, and analyze information from multiple sources.
Ability to monitor project budgets, evaluate vendor estimates, and review payment requests.
Ability to create clear, concise, professional reports.
Preferred Qualifications
Construction experience is highly desired (including residential construction), but not required. Financial or supply chain backgrounds are also considered.
Experience with project management systems (Unifier, Projecto, etc.) is a plus, but not required.
Job Type & Location Contract to Hire position based out of Oakland, CA.
Pay And Benefits Pay range: $20.00 – $50.00 per hour.
