Job Description Addison Group is partnering with our client to identify a Payroll Specialist to support accurate and timely payroll operations. This role is responsible for processing payroll data, maintaining payroll records, ensuring compliance with wage and labor regulations, and supporting employees with payroll-related inquiries. The Payroll Specialist will work closely with internal teams and the Payroll Manager while handling sensitive and confidential information.
Key Responsibilities
Collect, review, and enter weekly and biweekly time data into the payroll system, resolving missing or inconsistent entries with supervisors
Coordinate with third‑party payroll providers and internal departments to verify payroll inputs prior to processing
Review payroll reports for accuracy and make necessary corrections or off‑cycle adjustments
Upload and manage employee pay documentation within the payroll portal
Administer payroll deductions including child support, garnishments, and other legally required withholdings
Prepare certified payroll and wage compliance reports on a weekly and monthly basis for project and contractor needs
Ensure compliance with prevailing wage requirements for both federally funded and non‑federal projects
Support payroll reporting related to OCIP, CCIP, and ACIP programs
Complete payroll close activities including general ledger entries and job cost allocations
Track and reconcile vacation balances and assist with annual payout processes
Set up and maintain employee direct deposit information
Process final pay for terminated employees, ensuring all outstanding balances are accurately calculated and issued
Provide support to the Payroll Manager with retirement plans, payroll taxes, and levy‑related matters
Maintain working knowledge of applicable payroll laws and regulations
Manage payroll workflows to meet strict deadlines while maintaining accuracy
Respond to employee questions regarding pay, taxes, timekeeping, and time‑off requests
Assist with year‑end payroll reporting and audits as needed
Maintain confidentiality and support payroll‑related audit and compliance requests
Perform payroll filing and documentation tasks as required
Qualifications
2+ years of payroll experience
Bilingual in English and Spanish
Familiarity with payroll systems, timekeeping platforms, and payroll reporting
Knowledge of prevailing wage, certified payroll, and compliance reporting preferred
Strong attention to detail and ability to manage deadlines
Understanding of payroll laws, regulations, and confidentiality requirements
Effective communication and customer service skills
Proficiency with Microsoft Excel and payroll‑related software
