This position supports the coordination of meetings, and special events, ensuring catering, setup, and hospitality needs are met. The role also assists with maintaining high standards of sanitation, general workplace operations, supply management, and vendor coordination to maintain smooth day-to-day activities.**Essential job functions include, but are not limited to:*** Set up and break down meeting rooms, conference spaces, and training areas according to requested layouts (tables, chairs, signage, etc.).* Serve as the primary point of contact for meeting logistics, ensuring all spaces are prepared, stocked, and equipped for scheduled activities.* Support internal events by coordinating room readiness, refreshing spaces, and assisting with catering setup, delivery and cleanup.* Assist with custodial tasks such as replenishing supplies and maintaining clean, organized meeting spaces, stepping in for custodial coverage when needed.* Responsible for the ordering, purchasing, pickup, and delivery of all custodial supplies across all designated Authority properties.* Update the Works System for all P-Card transactions and the Concur System for all Travel Card transactions.* Maintain accurate records, receipts, and supporting documentation for audit and compliance purposes.* Proactively monitor GRDA properties, reporting issues and recommending improvements to enhance safety, functionality, and overall coworker experience.* Place catering orders, coordinate delivery or pickup, verify accuracy of orders, and ensure all food and beverage services meet GRDA standards for meetings and events* Organize storage spaces and process surplus items for disposal.* Perform custodial duties as needed when vacancies arise.* Submit reports on workplace logistics and furnishings, custodial operations, building maintenance including incident reports, safety concerns, and general updates.* Perform other duties and responsibilities as assigned.**Skills, Knowledge, Qualities:*** Excellent organizational, coordination, and communication skills.* Possess ability to interrupt room layout diagrams and setup instructions.* Strong attention to detail and ability to multitask effectively.* Knowledge of various cleaning methods and materials used in custodial work.* Reliable, punctual, and able to prioritize tasks efficiently.* Professional and helpful demeanor with a focus on hospitality and teamwork.* Fosters a positive work environment.* Possess ability to remain calm under pressure and help others during tight meeting setups.* Proficiency with computers, including Microsoft Office, Outlook, and scheduling systems.**Education, Training, Experience:*** 4 years of experience in workplace coordination, hospitality, or facilities support roles.* Experience in event planning, meeting coordination, or catering preferred.* Computer literacy and experience with digital scheduling, purchasing, or inventory systems required.* High school diploma or equivalent required.**Certificates, Registrations, Licenses:*** Valid Oklahoma driver’s license, or the ability to convert within 30 days for those with an out of state driver’s license that are an Oklahoma resident.**Physical/Mental Requirements & Working Conditions:*** Ability to perform physical tasks, including lifting 30 lbs., standing for extended periods, and operating cleaning machinery.* The work environment may include exposure to cleaning chemicals and various environmental conditions.* Must be able to operate motor vehicle equipment safely and efficiently to transport items or personnel from one location to another.* Work is performed in the office with some travel to onsite locations and other Grand River Dam Authority locations, as needed.* Some work to be performed in an industrial environment.**Other information:*** Position is located at the Administrative Center in Chouteau, Oklahoma.* Compensation will be commensurate with experience and qualifications* Highly competitive benefits packageIf you’re passionate about growth, teamwork, and making an impact, you’ll love building your career with us. #J-18808-Ljbffr
