Own and expertly manage a complex executive calendar, balancing internal priorities with external meetings, investor engagements, and board interactions Coordinate seamless domestic and international travel, producing thoughtful itineraries and handling last‑minute changes with confidence Monitor executive inboxes, surface key priorities, draft polished correspondence, and ensure follow‑ups are completed Prepare high‑quality meeting materials, agendas, and briefing documents so leadership is consistently well‑prepared Serve as a trusted gatekeeper and liaison, exercising sound judgment while maintaining strong relationships with internal and external stakeholders Anticipate needs, proactively resolve scheduling conflicts, and create space for executives to focus on what matters most Act as the welcoming first point of contact for office guests, ensuring a professional, organized, and positive experience Oversee daily office operations, including vendors, supplies, access, and workspace logistics, keeping the office running smoothly Partner with building management on facilities, security, and access needs Plan and support leadership meetings, investor events, team offsites, and firm gatherings from start to finish Assist with interview scheduling, onboarding coordination, and intern logistics as the firm continues to grow Maintain and improve firm‑wide organizational systems, contact lists, and internal documentation Support firm‑wide meeting cadence and preparation as needed Provide reliable, hands‑on administrative and operational support to ensure seamless day‑to‑day operations Qualifications
Minimum of 3–7 years of experience as an Executive Assistant to C‑Suite or Senior Leadership Demonstrated success supporting senior executives in a fast‑paced, high‑performance, high‑stakes environment Exceptional organizational skills with strong attention to detail and follow‑through Excellent written and verbal communication skills, with the ability to interact confidently at all levels Proven discretion and sound judgment when handling sensitive and confidential information Ability to manage multiple priorities while staying calm, flexible, and solutions‑focused Proficiency in Microsoft Office, including Outlook, Excel, and PowerPoint Comfort using modern office tools and collaboration platforms Proactive, resourceful, and self‑directed with a strong sense of ownership Professional, personable, and collaborative approach
