Job Summary The Accounts Receivable (AR) Clerk is responsible for accurately managing and reconciling all receivables for the dealership, including parts, service, vehicle deals, wholesale transactions, manufacturer incentives, and other receivable accounts. This role ensures timely collection, accurate posting, daily reconciliation of receipts, and proper cash handling while providing backup support to the receptionist as needed.

Key Responsibilities Accounts Receivable Management

Process and maintain accounts receivable for:

Parts and Service departments

Vehicle deals (retail and wholesale)

Wholesale accounts

Manufacturer incentives, rebates, and credits

Other dealership‑related receivables

Post payments accurately and timely to appropriate accounts

Reconcile AR accounts – investigate and resolve discrepancies

Prepare and maintain AR aging reports

Collections

Monitor past‑due accounts and perform collection activities

Communicate professionally with customers, vendors, and manufacturers regarding outstanding balances

Resolve payment issues and discrepancies in a timely manner

Daily Cash Handling & Reconciliation

Perform daily reconciliation of all cash, check, and credit card receipts

Prepare, make, and record daily bank deposits for cash and check receipts

Verify accuracy of deposits against daily transaction reports

Identify and resolve variances promptly

Administrative & Front Desk Support

Provide backup coverage for the receptionist

Other duties as assigned

Qualifications & Skills

Previous accounts receivable or accounting experience, preferably in an automotive dealership

Strong attention to detail and accuracy

Excellent organizational and time management skills

Effective communication and customer service skills

Ability to handle confidential financial information

Proficiency in accounting software and Microsoft Office

Experience with dealership management systems (Reynolds & Reynolds) is a plus

Education & Experience

High school diploma or equivalent required

1–3 years of accounts receivable experience, dealership experience preferred

Work Environment

Office setting within an automotive dealership

Requires sitting, standing, and basic clerical duties

Occasional interaction with customers and vendors
