Executive Assistant

Position Title: Executive Assistant

Location: Houston, TX

Assignment Type: 3-month contract with potential for contract-to-hire

Compensation: $75,000 - 110,000 depending on experience

Work Schedule: MondayThursday, 8:00 a.m. 5:00 p.m. and Friday 8:00 am- 3:30

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Position Summary

Serves as a strategic partner to C-suite executives by managing complex schedules, coordinating high-level communications, and driving operational efficiency. Utilizes strong business judgment, advanced technology skills, and a high degree of discretion to support executive decision-making and organizational priorities.

Responsibilities

Executive Support & Strategic Partnership

Manage complex executive calendars, prioritize meetings, and coordinate engagements across multiple time zones.

Prepare briefing materials for leadership meetings, board discussions, and strategic reviews.

Serve as a liaison between executives and senior leadership, ensuring alignment on key initiatives and communications.

Draft, review, and manage executive correspondence, presentations, and reports with professionalism and accuracy.

Travel & Event Management

Coordinate all aspects of domestic and international travel, including itineraries, accommodations, and logistical planning.

Plan and execute executive offsites, leadership meetings, and confidential events, including coordination of logistics, catering, and technology needs.

Technology & Process Optimization

Leverage advanced productivity toolssuch as workflow automation, AI scheduling, and virtual collaboration platformsto streamline administrative processes.

Maintain digital filing systems and ensure the secure handling of confidential information.

Identify and implement process improvements to enhance administrative efficiency.

Vendor & Stakeholder Relations

Negotiate and manage vendor contracts and relationships.

Collaborate with cross-functional teamsincluding legal, finance, and HRon executive matters and sensitive initiatives.

Project & Initiative Management

Lead or support special projects, including organizational initiatives, executive communications, and high-priority operational tasks.

Track progress on strategic goals, prepare updates, and ensure timely follow-through on action items.

Confidentiality & Professionalism

Handle sensitive information with the highest level of discretion and integrity.

Maintain strict confidentiality in all executive and organizational matters.

Complete special projects and department assignments as requested.

Education & Qualifications

Bachelor's degree required; advanced degree or certification preferred.

310 years of experience supporting C-suite or senior executives in a fast-paced environment.

Mastery of Microsoft 365, productivity software, and digital collaboration platforms.

Strong organizational, communication, and problem-solving skills.

Proven ability to manage multiple priorities, anticipate needs, and pivot quickly.

Experience in vendor management, contract coordination, and event planning.

Ability to work independently and collaboratively within cross-functional teams.
