As a Scheduling Coordinator, you will manage advanced scheduling tasks—including chemotherapy treatment plans, referrals, radiology appointments, and more—coordinating with multiple parties to improve scheduling efficiency and generate performance reports. Your role also includes telephone coverage, reporting, email and portal support.

Essential Functions

Answer the phone and greet patients courteously, routing calls/messages to the appropriate department.

Follow company policies and procedures to standardize processes across all clinics.

Conduct patient check‑out workflow per policy.

Apply complex scheduling guidelines and interpret orders and treatment plans into suitable appointments.

Distribute documents and provide scheduling/preparation details to patients.

Track patients in the EHR to ensure next location visits and avoid missed appointments.

Follow up on canceled and missed appointments and document accordingly.

Schedule appointments internally and externally, including radiology, procedures, hospital admits, and virtual tumor boards.

Run daily reports to identify patients with unscheduled orders.

Perform tasks related to governmental, insurance, and quality initiative programs.

Communicate patient program details and share clinical summaries with external providers.

Assist with Patient Engagement Portal registration.

Maintain communication with pre‑certification team for urgent cases and denial/peer‑to‑peer requests.

Ensure proper billing documents are faxed with diagnostic orders for study patients.

Follow SOP for external follow‑ups.

Deliver excellent customer service and respond promptly to patient, physician, and staff requests.

Use instant messaging system for internal communication.

Scan documents into the EHR when necessary.

Send portal invites as needed.

Perform other duties as assigned.

Travel or float to other clinics for business needs.

Maintain patient confidentiality.

Adhere to all Tennessee Oncology policies and procedures.

Education & Experience

High school graduate or GED.

Electronic medical records experience strongly preferred.

At least 2 years of professional office experience with customer service.

Experience with electronic medical scheduling preferred.

Knowledge of medical terminology preferred.

Strong computer skills, including Windows file management, MS Office, and e‑mail.

Good verbal, listening, and written communication skills.

Ability to work productively in a fast‑paced environment.

Strong organizational skills and attention to detail.

Excellent customer service skills.

Physical Requirements

Must be able to travel to clinics when necessary.

Must be able to lift 25 pounds.
