Job Description
The Registration Coordinator position provides medical office support including check‑in and some check‑out functions. The role manages patient reception within the office and by telephone, obtains patient insurance and demographic information, collects co‑pays and payments, and schedules internal appointments. Essential Functions
Answers the telephone and greets patients courteously, routing calls/messages to the appropriate discipline/department. Follows policy and procedures outlined by management to ensure standardization across all clinics. Conducts patient check‑in following policy and procedures. Properly tracks patients in the EHR for the next location and ensures patients are not missed. Obtains pre‑patient registration, demographic, and insurance information and enters it appropriately into the Patient Management System or EHR, including all paper/electronic documents. Verifies and updates patient demographics. Scans documents into the Electronic Health Record. Collects patient photographs, scans insurance cards (and notifies insurance authorization coordinators), and obtains signatures on necessary forms. Ensures eligible patients have proper distress screening. Collects co‑payments and/or payments at the time of service and manages end‑of‑day procedures, including daily deposit, petty cash reconciliation, and sign‑in sheets. Ensures canceled/no‑show and missed appointments are followed up and documented. Schedules internal patient appointments and arranges walk‑in appointments, such as nurse triage and sample drop‑off. Communicates information regarding the Patient Engagement Portal and assists with the registration process, including sending invitations. Runs and processes daily reports (e.g., cancel/no‑show, missing employer). Demonstrates excellent customer service by responding promptly to patient, physician, manager, clinic, and other department requests. Communicates with other staff members using the instant messaging system. Performs other duties as assigned. Travels/flags to other clinics for business needs. Maintains and ensures confidentiality of patient information. Adheres to all Tennessee Oncology policies and procedures. Education and Experience
High school graduate or equivalent with GED. Two years of previous professional office or customer service experience preferred. Strong computer skills, including Windows file management, MS Office, and e‑mail experience. Good verbal, listening, and written communication skills. Ability to work productively and effectively in a fast‑paced environment. Strong organizational skills and attention to detail. Excellent customer service skills. Physical Requirements
Able to travel to clinics when necessary. Able to lift 25 pounds. Seniority Level
